Job description

The Client Service Associate is responsible for delivering exceptional client service, supporting Advisors, and ensuring efficient office operations. This role serves as a key client contact, manages administrative and follow-up tasks, and helps Advisors maximize their time while keeping day-to-day firm operations organized and running smoothly.


Essential Duties and Responsibilities

  • Provide exceptional client service through regular client interaction, appointment scheduling, correspondence, incoming call management, and timely resolution of client needs and requests.
  • Support client meetings and Advisor workflows by preparing necessary paperwork and reports, coordinating appointments, and completing post-meeting documentation and follow-up.
  • Manage account administration and service requests including new account establishment, account maintenance, paperwork processing, eSignatures, and coordination with the Broker-Dealer, ensuring requests are accurately processed through completion.
  • Maintain accurate client records and compliance documentation within the CRM and firm systems, including check deposits, check blotters, and adherence to compliance and recordkeeping standards.
  • Support client communications and firm outreach by maintaining client mailing lists and assisting with birthday, holiday, and marketing communications.
  • Assist with firm reporting and administrative operations including monthly/quarterly reporting, office supply management, infrastructure requests, and maintaining a professional office environment.
  • Manage multiple priorities effectively while supporting Advisors and contributing to the firm’s overall business objectives.
  • Other responsibilities as assigned by Advisors.
