About the Role

We are seeking a detail‑oriented, client‑focused Client Services Associate to join our team. This role is essential in delivering exceptional client experience and supporting our Advisors through efficient communication, organization, and service execution. The Client Services Associate can expect to focus in the following areas:

  • Serve as the first point of contact for clients and prospects, providing professional and timely assistance.
  • Troubleshoot client issues, research inquiries, and resolve service‑related concerns while acting as a liaison between Advisors and clients.
  • Schedule, organize, and confirm client meetings, including annual reviews, onboarding appointments, and internal check‑ins.
  • Prepare client reports, assemble meeting materials, and proofread documents for accuracy.
  • Prepare and process custodian paperwork for service-related items like distribution requests and policy updates.
  • Manage client information by updating the CRM, maintaining records, and documenting all client interactions.
  • Fulfill all applicable client service requests once account openings and transfer processes are completed.
  • Assist clients with account‑related questions, establishing client accounts and processes across various custodial systems.
  • Submit, track, and follow up on paperwork while maintaining filing systems and record‑keeping procedures.
  • Create customized consolidated reports and coordinate with custodians, 401(k) recordkeepers, and third‑party administrators to resolve client issues.
  • Maintain Advisor calendars, manage availability, and support smooth scheduling workflows.
