As the Client Service Associate within our firm, you will play an essential role in supporting both the Founder and our clients. This includes facilitating ongoing client service, responding to inquiries, preparing and processing paperwork, resolving service-related issues, and handling day-to-day administrative and operational tasks. General Responsibilities:
  • Serve as a professional and dependable point of contact for clients and internal team members
  • Answer, screen, and route phone calls, assisting clients directly or taking messages as appropriate
  • Support client onboarding, account maintenance, and service requests in compliance with firm policies
  • Prepare and ensure new account paperwork is successfully submitted
  • Correspond with clients to understand and resolve client service needs as they arise, tracking to completion and providing necessary updates
  • Proactively identify client needs and escalate matters as appropriate
  • Create and maintain accurate client records in the CRM system, ensuring all confidential and required information is securely stored
  • Coordinate client meetings, calendars, and communications with accuracy and discretion
  • Assist advisors with operational and administrative tasks to ensure timely and efficient service delivery

Qualifications:
  • Bachelor's degree highly preferred, or equivalent work experience
  • 3 years of progressive experience in wealth management highly preferred; candidates with experience in similar financial services environments, such as accounting, banking, investment operations, insurance, or mortgage industry roles with a focus on processing are also encouraged to apply
  • Tech-savvy and highly proficient in Microsoft Office suite (Excel, Word, and PowerPoint); strong ability to learn and apply new software systems quickly
  • Knowledge of industry-specific software preferred; familiarity with Wealthbox, Holistiplan, eMoney, Wealth.com, and Morningstar is a plus
  • Excellent follow-through and communication regarding status of open items
  • Strong time management skills; ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions
  • Excellent interpersonal and communication skills; ability to communicate in a pleasant, tactful and effective manner (both orally and in writing), and to handle difficult, sensitive issues
