POSITION: Client Relations Representative  

Location: Westbrook, CT

Schedule: M-F from 8:30 - 5:00pm (onsite + local travel) 

FLSA Classification: Non-Exempt

Position Summary

This is a sales development and client relationship role, not a passive administrative position as the Advisor's territory grows into expanding markets.


The Client Relations Representative (CRR) is responsible for:

  • Driving appointment generation from warm and event-based leads
  • Executing and supporting 8-10 marketing events per quarter
  • Initiating new client onboarding paperwork with precision
  • Owning outreach metrics and performance goals

You will work directly alongside the Advisor to expand market presence across Londonderry, NH, and Leominster, MA. This role includes local travel between offices and event venues (mileage reimbursed). Success in this position directly impacts revenue growth.


Key Responsibilities

Sales Development & Appointment Setting

  • Execute outbound follow-up on workshop attendees, seminar leads, and internal marketing lists
  • Secure a minimum of 6+ first-time kept advisor appointments per week
  • Reactivate dormant leads and no-shows
  • Maintain persistent follow-up cadence until leads are booked, declined, or disqualified
  • Track and report KPIs including: Outreach volume, Appointments set, Show rate, Conversion rate
  • Log all activity in CRM (Redtail) same day
  • Maintain high-energy phone presence with strong closing capability

Approximately 70% of this role is phone-based sales activity.


Marketing & Event Execution (8-10 Per Quarter)

In partnership with the Advisor and Marketing team:

  • Scout and recommend venues
  • Coordinate contracts and approvals
  • Manage RSVPs and confirmations
  • Oversee check-in and event-day logistics
  • Conduct same-day or next-day follow-up to maximize appointment conversion
  • Collaborate on additional initiatives (e.g., lunch & learns)

This role requires comfort engaging prospects face-to-face at public events.


Client Service & Onboarding Support

Initiate new client onboarding paperwork

Accurately prepare applications, transfer forms, and client profile documentation

Submit complete documentation to the New Business team (Westbrook office)

Ensure compliance and accuracy in all paperwork (this role submits - does not manage follow-up processing)

Coordinate Advisor calendars for efficiency

Maintain professional office and reception presence

Requirements

Must-Have Qualifications

Background and Experience:

  • Minimum 2 years of sales or business development experience, with demonstrated ownership of KPIs and measurable performance results.
  • Associate's or Bachelor's degree in Business, Finance, or a related field preferred, but not required
  • Ability to multitask and prioritize effectively in a fast-paced, client-centric environment
  • Exceptional attention to detail, with strong organizational and time management abilities
  • Strong communication skills and confidence in engaging prospects at events and over the phone.

Technology Expertise:

  • CRM experience and proficiency in Microsoft Office Suite.
Physical & Work Environment Requirements
  • Office-based role with travel to events and satellite offices, occasional evening or Saturday coverage (mileage reimbursement provided)
  • Ability to work at a desk for extended periods and lift up to 10 pounds.
