Job Description: We are seeking a Senior Associate to join our Personal CFO Services team in a client-facing capacity. This role operates within a single family office environment, serving as a key point of execution and coordination across the client's financial ecosystem.

The Senior Associate is responsible for managing day-to-day financial operations, supporting reporting and close processes, and ensuring accurate, timely, and well-coordinated financial outputs. This role partners closely with Reporting Managers, Advisory, and Tax to deliver a seamless, high-touch client experience while maintaining strong control over financial data and workflows.

Key Responsibilities:

Client Relationship and SFO Support

  • Serve as a primary day-to-day contact for clients, delivering responsive and high-quality service
  • Operate within a single family office model, supporting a wide range of financial and operational needs
  • Coordinate with external advisors including tax, legal, and insurance professionals
  • Anticipate client needs and proactively manage requests and deliverables

Financial Operations and Bill Pay

  • Oversee client bill payment processes, ensuring accuracy, timeliness, and proper documentation
  • Manage vendor relationships and cash disbursement workflows
  • Identify and resolve discrepancies or issues in financial activity
  • Maintain organized records and audit-ready documentation

Financial Reporting and Close Support

  • Support monthly and quarterly close processes across multi-entity structures
  • Prepare and review balance sheets, income statements, and supporting schedules
  • Perform quarter-over-quarter variance analysis and support explanation development
  • Ensure alignment and consistency across client entities and reporting outputs

Investment and Cash Activity Oversight

  • Track investment activity, capital movements, and cash flows across client entities
  • Reconcile custodial data to general ledger activity
  • Monitor liquidity and support cash flow visibility for upcoming needs

Systems and Data Integrity (Sage Intacct Focus)

  • Maintain accurate and timely financial records within Sage Intacct or comparable systems
  • Reconcile system data to external sources including custodians and banking platforms
  • Identify data breaks and partner with teams to resolve discrepancies
  • Support standardized processes across systems and workflows

Inter-Entity and Reconciliation Support

  • Track and reconcile inter-entity transactions and balances
  • Support identification and resolution of inconsistencies
  • Ensure clean, fully reconciled data across structures

Cross-Functional Coordination

  • Partner with Reporting, Advisory, and Tax teams to ensure aligned financial outputs
  • Support preparation of client deliverables and reporting packages
  • Reduce rework by ensuring accuracy and completeness of inputs

Project Management and Execution

  • Manage multiple client workstreams with strong organization and follow-through
  • Ensure all assigned tasks are completed, documented, and closed
  • Maintain clear communication across internal and external stakeholders

Requirements:

  • Bachelor's degree in Accounting, Finance, or related field required
  • 4+ years of experience in family office, private wealth, public accounting, or financial services
  • Experience supporting high-net-worth or ultra-high-net-worth clients in a client-facing role
  • Exposure to multi-entity structures and financial operations
  • Experience with Sage Intacct or similar accounting systems preferred
  • Strong Excel and analytical skills
  • Familiarity with or hands-on experience using AI-powered productivity tools to enhance efficiency, collaboration, and work quality strongly preferred
  • Experience with reconciliations, cash management, and financial reporting support
  • Strong attention to detail and ownership mindset
  • Ability to manage multiple priorities across complex client environments
  • Comfort working in fast-paced, high-expectation environments
  • Clear, professional communicator with strong client presence
  • Ability to coordinate across multiple teams and external advisors
