Job Description: Client Service & Financial Administrative Assistant

Position Overview

Join our 8-member wealth management team as the vital bridge between our financial advisors, large client base, and the home office. You will be the face and voice of our firm, combining a warm, professional presence with meticulous transaction processing and regulatory compliance.

  • Execute Front-Office & Client Service Operations
  • Greet all visitors with a professional, positive, and happy persona.
  • Manage phone lines as the primary point of contact for clients.
  • Client onboarding by opening new accounts and handling transfers.
  • Execute money movements and distributions safely at client request.
  • Enter orders and trades timely & accurately as directed by financial advisors.
  • Prepare client review reports to arm advisors for meetings.
  • Communicate transaction statuses proactively to clients and team members.
  • Track critical administrative deadlines across a large client base
  • Enforce Compliance & Record Keeping
  • Maintain compliant files using our central CRM software system
  • Review all documentation against strict industry regulatory standards
  • Protect sensitive data during client information updates and storage
