Director, Client Relations

 Position Summary:

Under the general direction of the Chairman/CEO, this is a leadership function charged with providing oversight of the client relations department.  The team consists of three members including a Capture Management / Digital Marketing Specialist, Technical Proposal Writer and Cost Estimator, all working remotely.  The standard duty hours are 8am – 5pm, Monday through Friday with immediate accessibility and availability during off hours, as deemed necessary.

 

MINIMUM QUALIFICATIONS:

  • Candidate shall have at least five (5) years leadership experience managing high-profile security programs, preferably in support of a federal level security program
  • Possesses strong project management, organizational and administrative skills
  • Strong verbal and written communication skills (writing sample may be required)
  • Ability to function as a self-motivated entity with corporate support, but minimal oversight
  • Ability to work a flexible schedule to include evenings, weekends and holidays as requested or required to meet strict proposal deadlines.
  • Basic knowledge of Microsoft Office Suite to include MS Word, MS Excel, MS PowerPoint and MS Outlook also required
  • Ability to prioritize responsibilites and perform multiple tasks under pressure; Tasks must be performed effectively, under strict deadlines and in a professional manner.
  • May require occasional, ad-hoc regional job-related travel, as deemed necessary.

 

principal duties and accountabilities:

  • Identifying feasible business development opportunities to pursue for strategic business growth utilizing standard “Bid Evaluation Form
  • Collaboration of proposal development efforts across cross-functional teams including operations, human resources, training, and programs management.
  • Conduct comprehensive assessment of RFP identifying all costs associated with fulfilling contractual requirements, i.e., uniforms, equipment, vehicles, insurance, etc.
  • Maintain familiarity with compensation and benefits structure as dictated by CBA, contractual requirements and/or jurisdiction where services will be provided
  • Attend in-person and/or virtual vendor outreach events and pre-proposal conferences
  • Generate comprehensive weekly report of all ongoing and upcoming client relations and business development activities
  • Maintains final responsibility for responsive, timely and accurate proposal submission in line with proposal submission instructions and deadline

 

The successful candidate will also be responsible for collaborating and providing oversight to the team members responsible for performing the following functions:

 

Capture Management / Digital Marketing:

  • Utilize available digital marketing resources for brand awareness and advertising of service offerings
  • Registration and updates into Vendor databases for Prime Contractors and/or Client databases
  • Collaborate with IT Department to coordinate routine updates and revisions to company website and social media portals including Facebook, LinkedIn, Instagram and Twitter
  • Conduct close monitoring of future re-solicitation of missed contract award opportunities through ZoHo CRM
  • Performs all activities related to the initial application, renewal and maintenance of MBE/DBE/SBE certifications for private sector opportunities

 

Technical Proposal Support:

  • Conducting preliminary assessment of Request for Proposals using predefined parameters resulting in sound decision on preceding with response to proposal 
  • Conducting in-depth review of Request for Proposals to understand client service needs and desired solutions. 
  • Performing key role in contributing, reviewing, and editing draft of proposals prior to final submission 
  • Gathering relevant supporting information from both internal and external sources for proposal content creation
  • Identifying gaps and / or conflicts within Request for Proposals and communicate with prospective client for clarification. 

 

Pricing Proposal Support:

  • Construct accurate assessment of mandatory minimum contractual hours of services to be provided for duration of contract period
  • Support the development of realistic cost proposal schedules that meet RFP and company requirements within strict deadlines
  • Generate detailed pricing using a pricing model, proposal structure, and pricing strategy with MS Excel
  • Prepare cost volume documents in line with specific instructions provided within the RFP
  • Provide all relevant price justifications and explanatory responses to support data to justify adequacy, realism reasonableness, and audit validation
