Job description

Allen Barron, Inc. is seeking an organized, proactive Project Manager to coordinate client engagements across our tax, accounting and legal practices. This individual will oversee projects from intake through completion, ensuring that assignments, deadlines, documents and communications are managed effectively.

The Project Manager will serve as the central point of coordination among clients, attorneys, accountants, tax professionals and administrative personnel. The ideal candidate can manage multiple complex engagements, anticipate obstacles and keep projects progressing while maintaining accuracy, discretion and exceptional client service.

This is a project coordination and management position. The Project Manager will not provide legal, tax or accounting advice unless separately qualified and authorized to do so.

Key Responsibilities

  • Manage tax, accounting and legal projects from initial intake through final delivery.
  • Define project objectives, scope, responsibilities, milestones, deadlines and required deliverables.
  • Develop and maintain project plans, calendars, task lists and status reports.
  • Coordinate work among attorneys, accountants, tax professionals, consultants, clients and administrative staff.
  • Monitor statutory, regulatory, filing and client-imposed deadlines and promptly escalate potential delays.
  • Serve as a primary coordination contact for clients, providing timely status updates and following up on outstanding information.
  • Organize client onboarding and facilitate the collection of financial records, tax documents, legal documents and other required materials.
  • Schedule and facilitate project meetings, prepare agendas, document decisions and track follow-up items.
  • Monitor workloads, priorities and dependencies across departments and help allocate resources appropriately.
  • Track project progress, professional time, budgets and scope changes.
  • Identify potential scheduling, operational or client-service risks and work with firm leadership to resolve them.
  • Maintain complete, accurate and well-organized electronic project files in accordance with firm procedures.
  • Support quality-control processes by confirming that required documents, reviews, approvals and signatures are obtained before delivery or filing.
  • Maintain strict confidentiality of client, financial, tax, legal and personally identifiable information.
  • Develop standardized workflows, templates, checklists and reporting tools that improve efficiency and consistency.
  • Evaluate existing processes and recommend practical improvements to project delivery and client service.
  • Assist firm leadership with special projects and operational initiatives as needed.

Required Qualifications

  • Bachelor’s degree in business administration, project management, accounting, finance or a related discipline, or equivalent professional experience.
  • At least three years of project management, client-service or operations experience, preferably within a law firm, accounting firm, tax practice or other professional-services organization.
  • Demonstrated ability to manage multiple projects, deadlines and stakeholders simultaneously.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Sound judgment and the ability to identify issues requiring escalation.
  • Ability to communicate effectively with clients and professionals from different disciplines.
  • Proficiency with Microsoft Office or Microsoft 365, including Outlook, Word and Excel.
  • Experience using project-management, workflow, document-management or practice-management systems.
  • Ability to handle sensitive and confidential information with professionalism and discretion.

Preferred Qualifications

  • Experience coordinating tax filings, accounting engagements, business transactions, estate-planning matters, litigation matters or other professional-service engagements.
  • Familiarity with professional billing, timekeeping and engagement budgets.
  • Experience with client portals, electronic signatures and secure document-sharing systems.
  • Project Management Professional (PMP) certification or comparable project-management training.
  • Familiarity with tax, accounting or legal terminology and workflows.
