The Project Coordinator will support the Project Management and Installation departments by being the single point of contact for various administrative support activities and liasion with project managers.

Responsibilities
  • Review and process contracts in CRM system – be able to identify if the contract package is not complete and communicate with the Project Manager accordingly
  • Issue and receive purchase orders and solicit proposals to sub-contractors
  • Maintain contact information and other documentations for technicians and sub-contractors, including performance and productivity spreadsheets
  • Initiate project related reports as assigned including signal, lock out, COGS, RMR and project close-out reports
  • Assist Project Manager in finalizing parts lists for projects, interacting with Inventory to stage those parts, and help research any custom parts for ordering
  • Perform pre-installation system programming and verify alignment between contract and scope of work delivered to the installation team
  • Assist Project Manager in any required permits, drawings, and submittals for projects, as warranted by customer
  • Assist the Project Manager to create scope of work packages for each installation to ensure proper execution of installations for the customer
  • Review completeness of installation closeout checklists with Project Managers
  • Handle COI requests from customers
  • For Kastle Video systems, email the internet requirements and the Kastle contact sheet.
  • Coordinate sub-contractors for site execution of work
  • Assist the Project Manager's maintaining the online schedule program - add/remove technicians and make changes in the schedule as requested
Qualifications
  • College degree or 4 years of relevant experience
  • Ability to work as a team player in a fast-paced professional environment
  • Ability to function as a liaison between Installation Technicians, Project Managers, Client Services, and leadership
  • Technical and analytical skills; ability to learn new programs, systems, and applications
  • Excellent organizational skills and ability to develop goals while managing multiple competing priorities
  • Excellent telephone manner, and professional writing skills
  • Experience in drawings and schematics with Bluebeam, CAD, etc a plus
  • Ability to travel frequently by automobile - local travel only (up to 50%)
  • Must be able to work overtime, weekends, and/or nights when required
