Job description

Project Coordinator

This position is available due to an internal move within the company, creating an exciting opportunity for someone new to join our team. We’re looking for a motivated individual ready to step into the role and contribute to our continued success at our Round Rock, TX office.

This position will provide contract and billing support, meeting the business needs required for project policies, procedures, and record retention. This position will be involved heavily at the contract level with Clients and Subcontractors, and also include, but not limited to, communication, progress billings, accounts receivables and support to operations and accounting.


PROJECT COORDINATOR RESPONSIBILITIES

  • Review and comprehend contracts to determine the need for revisions.
  • Coordinate with customers and project management on contract and compliance documentation including, purchase orders, insurance certificates, bonds, certified payroll, tax exemption status and general information.
  • Set-up civil construction projects in business system and project files.
  • Record-keeping of all contract documents, often requiring very detailed paper and electronic filing requirements.
  • Assist in the initiation and tracking of client billings by preparing invoices for billing and any additional documentation required for billing purposes and submission of billings to the client in AIA progress billing format.
  • Reconcile project information to ensure accuracy throughout multiple data sources.
  • Assist project management with updating of “One Call” tickets.
  • Initiate, process and track progress of projects utilizing Excel data imports to distribute to Project Managers.
  • Communicate effectively with other team members concerning problems, obstacles, issues, and information needs.
  • Strong accounting comprehension with paramount organizational skills required.


PROJECT COORDINATOR SKILLS

PROJECT COORDINATOR EDUCATION

Post High School degree preferred; OR four years of related project/billing experience and/or training; or equivalent combination of education and experience. Proficient with Microsoft Office products and other construction accounting software.


PROJECT COORDINATOR LANGUAGE SKILLS

Ability to read and comprehend construction contract's terms and conditions. Ability to write professional business correspondence. Ability to effectively present information in one-on-one and group situations to customers, clients, and other associates of the organization. Ability to communicate verbally with both internal and external stakeholders.


PROJECT COORDINATOR MATHEMATICAL SKILLS

Ability to work with large dollar amounts and to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to understand and use appropriate Excel formulas.

Qualified project coordinator candidate must have previous experience in construction and other administrative and accounting duties. Knowledge of or experience with Spectrum Web-based software a plus.
