Description:

The Client Operations Associate at Great Waters Financial is responsible for executing essential account-related tasks with precision, ensuring smooth operations across a variety of financial processes. This role does not involve direct client communication but plays a critical part in supporting the client experience by managing paperwork, executing money movement and account maintenance activities, and owning client operational cases from start to finish.


Key Responsibilities:

Paperwork Prep and Submission:

  • Prepare account-related paperwork accurately and in accordance with firm and custodian requirements.
  • Submit completed paperwork through the appropriate channels and confirm receipt and processing.
  • Track paperwork status through completion and follow up on any items requiring correction or additional information.

Money Movement and Account Maintenance Execution:

  • Execute client requests for money movement, including Roth conversions and distributions.
  • Submit checks and process transfers between custodians.
  • Process account maintenance updates, including address, beneficiary, and contact information changes.
  • Ensure all money movement and account maintenance activity is completed accurately, within firm timelines, and in compliance with custodian requirements.

Client Case and Process Ownership:

  • Own and manage client operational cases from intake through resolution.
  • Monitor open cases to ensure timely follow-through and proactive communication and collaboration with internal teams and external custodians.
  • Maintain organized, accurate case records within the firm's systems.
Requirements:
  • Strong organizational skills with a high attention to detail.
  • Ability to work independently, prioritize effectively, and meet deadlines.
  • Basic understanding of financial services, account maintenance, and custodian processes.
  • Comfort working across firm technology platforms, including Salesforce and custodian portals.
