Job description

Client Operations & Administrative Coordinator

Boston, MA | 5 days onsite


Our client is a well-established professional services organization in Boston seeking a full-time Client Operations & Administrative Coordinator to join a collaborative team. This is a great opportunity for someone who enjoys variety, is highly organized, and likes being the person who can jump in and help wherever needed.


The ideal candidate is detail-oriented, proactive, and comfortable balancing client-facing responsibilities with behind-the-scenes administrative and operational work. This person will support multiple teams and have the opportunity to take on increasing responsibility over time.


Key Responsibilities:

Client & Operations Support

  • Provide day-to-day administrative and operational support to client-facing professionals
  • Assist with new client onboarding, account maintenance, documentation, and ongoing administrative needs
  • Process transactions, requests, and other time-sensitive items with a high degree of accuracy
  • Prepare materials for client meetings, presentations, and internal reviews
  • Maintain organized and accurate client records
  • Provide professional and responsive support to clients and internal teams


Administrative & Team Support

  • Assist with the preparation and distribution of client documents and correspondence
  • Maintain electronic and physical files and ensure information is organized and up to date
  • Coordinate meetings, manage incoming and outgoing mail, and assist with office operations
  • Support recurring administrative processes and deadlines
  • Assist with special projects, team initiatives, and other priorities as needed


Qualifications:

  • Bachelor's degree preferred
  • 2+ years of relevant professional experience in an administrative, client service, operations, financial services, or professional services environment
  • Exceptional attention to detail and strong organizational skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines
  • Proactive, resourceful, and comfortable working independently
  • Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook
  • Professional, collaborative, and service-oriented approach
  • Willingness to be a true team player and jump in wherever needed


This role is fully onsite in Boston.
