In this role, you will play a key part in creating an exceptional client experience by serving as a trusted point of contact for clients and supporting advisors in the delivery of personalized wealth management services. You will help build and strengthen client relationships by ensuring every interaction is handled with professionalism, care, and attention to detail.

This position combines client relationship management, executive support, and event coordination, making it ideal for someone who enjoys working directly with people and creating exceptional client experiences.

Your role client experience & relationship management

  • Serve as a trusted point of contact for clients, delivering a high level of personalized service and responsiveness
  • Build strong client relationships by understanding client preferences, important milestones, and ongoing service needs
  • Assist with follow-up activities from client meetings, ensuring timely execution
  • Support the production of monthly market outlook videos, including light editing
  • Help create memorable and meaningful client experiences that reinforce long-term relationships

Executive support

  • Manage advisors' calendars, including client meetings, internal reviews, and professional commitments
  • Coordinate meeting schedules, travel arrangements, and special events
  • Prepare meeting materials, agendas, summaries, and supporting documentation
  • Screen and prioritize incoming communications, ensuring advisors remain focused on high-value activities

Client events & relationship management

  • Organize and coordinate client appreciation events, educational seminars, and team-hosted gatherings
  • Manage invitations, event registrations, logistics, and post-event follow-up
  • Support business development initiatives by helping deliver exceptional event experiences for clients and prospects

Administrative operations

  • Track deliverables such as financial plans, client reviews, and other service commitments
  • Coordinate with internal departments including compliance, operations, and marketing to ensure timely completion of requests
  • Maintain accurate records, meeting notes, and workflow tracking to support a seamless client experience

Team collaboration & project support

  • Support special projects and business initiatives as directed by advisors
  • Maintain internal processes, checklists, and workflows to ensure consistent service delivery
  • Collaborate with team members to balance workload, support one another, and contribute to a positive team environment

Qualifications & skills 

  • 3+ years of experience in a customer service, executive assistant, or hospitality
  • Financial industry experience not required
  • Exceptional organizational and time management skills
  • Strong verbal and written communication abilities
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfort learning new technology
  • Ability to manage multiple priorities while maintaining a high level of accuracy
  • Professional, polished, and client-focused approach
  • Ability to handle confidential information with discretion and professionalism
  • Self-starter who takes initiative and works well independently
