About the Role
Our wealth management firm is seeking a motivated and detail-oriented Client Services Associate / Office Manager to join our team. This dual-role position is the backbone of our daily operations, serving as the first point of contact for our valued clients while ensuring the office runs smoothly and efficiently behind the scenes.
The ideal candidate is a proactive problem-solver who enjoys building meaningful relationships with clients, providing thoughtful personalized service, and has a talent for creating organized systems that help a team perform at its best.
Key Responsibilities
Client Service
• Serve as the first point of contact for clients by phone, email, and in-person, providing warm, professional, and responsive service
• Schedule client meetings, manage advisor calendars, and coordinate follow-up communications
• Prepare, complete, and process client paperwork accurately, including account applications, transfer forms, and service requests
• Assist with new account openings and ensure all documentation is complete and accurate
• Build and maintain strong client relationships through consistent, attentive follow-up
Office Management & Operations
• Organize, maintain, and update digital client files
• Evaluate existing processes and develop new systems to streamline workflows and improve efficiency
• Manage office inventory
• Serve as the primary liaison with vendors, service providers, and building management
• Utilize AI to streamline business processes
Requirements
