FLX Solutions is past proof-of-concept and into execution mode. The technology works, the contracts are real, and the pipeline is building. Now we need an operator who can build the infrastructure to match our momentum.

The business needs a force multiplier - someone who turns conversations into action, keeps the team aligned, and makes sure nothing falls through the cracks. This is a hands-on business operations role for someone who gets satisfaction from making others successful and thrives behind the scenes.

What You'll Do

Turn Ideas Into Action

Ideas are worthless without execution - you're the one who turns them into projects, owners, and deadlines and knows which ones actually matter

  • Convert conversations, documents, and late-night brainstorms into structured projects with clear priorities
  • Maintain prioritized task lists for the team
  • Keep CRM, knowledge bases, meeting notes, and action items captured, tracked, and accessible
  • Coordinate and track ongoing programs, proposals, and company initiatives

Run Day-to-Day Operations

From prepping the brief to sending the follow-up, you own the full arc of how the CEO shows up and follows through

  • Join calls as the CEO's eyes and ears to capture notes, turn them into tracked action items, and follow through
  • Manage email triage and draft responses; protect the CEO's time for highest-value work
  • Prepare briefing materials, talking points, and background research before key meetings
  • Coordinate internal and external communications
  • Give honest post-meeting feedback

Build An Operational Foundation

  • A ClickUp (or equivalent) pro who can build and automate, not just use
  • Detail-obsessed and self-directed - you're sending the follow-up, not waiting for it
  • Calm under pressure, comfortable behind the scenes, and willing to push back when something doesn't make sense

Qualifications

Required

  • 5-7+ years of relevant experience
  • Startup experience working closely with a CEO/founder(s) through Series A or beyond
  • Demonstrated AI tool proficiency with real workflow examples
  • Advanced project management tool skills (ClickUp preferred)
  • CRM ownership/management experience
  • Excellent written and verbal communication
  • Google Workspace proficiency
  • U.S. citizenship (DoD requirement)

Preferred

  • PMP or equivalent project management background
  • Hardware, robotics, defense, or deep tech experience
  • Early-stage fundraising involvement
  • Government compliance experience
  • DoD/DoW operational background, particularly U.S. Navy or Air Force

Compensation & Location

  • Salary: $60k-$90k, performance-based increases tied to company milestones and expanding responsibility
  • Equity: Meaningful early-stage grant - you're a critical part of what gets built here
  • Location: Bethlehem, PA and Remote-friendly with preference for candidates near defense/tech hubs (DC, San Diego, Norfolk, Seattle, Bay Area, NYC)
