Position Overview The Executive Assistant provides high-level administrative, operational, and project management support to the Chief Executive Officer (CEO). This role is responsible for managing executive priorities, coordinating organizational projects, streamlining workflows, and serving as a liaison between executive leadership and internal and external stakeholders. The Executive Assistant leverages organizational systems, including ClickUp, to manage projects, monitor deadlines, improve workflows, and ensure organizational priorities remain on track. This individual is expected to anticipate executive needs, identify opportunities for improvement, and provide thoughtful recommendations that enhance organizational efficiency. Reports to: Chief Executive Officer (CEO) Key Responsibilities: Executive & Administrative Support
  • Manage the CEO's calendar, appointments, meetings, and daily priorities.
  • Coordinate travel arrangements, itineraries, and executive schedules.
  • Prepare meeting agendas, reports, presentations, and executive correspondence.
  • Manage confidential information with the highest level of professionalism and discretion.
  • Track action items and ensure timely completion of executive priorities.
  • Support the CEO with administrative and operational tasks that maximize productivity.
Project Management & Executive Operations
  • Utilize ClickUp to organize executive initiatives, projects, deadlines, and organizational priorities.
  • Coordinate projects from planning through completion while ensuring accountability across departments.
  • Develop workflows, dashboards, and reporting tools that improve operational efficiency.
  • Monitor project timelines and provide regular updates to executive leadership.
  • Recommend process improvements and organizational efficiencies based on workflow analysis.
Strategic Support & Business Research
  • Conduct research on healthcare trends, competitors, and industry best practices.
  • Prepare executive summaries and recommendations to support strategic decision-making.
  • Assist with organizational planning, special projects, and business initiatives.
  • Analyze information and present findings in a clear, actionable format.
  • Proactively identify opportunities to improve processes and support organizational growth.
Communication & Executive Liaison
  • Serve as the primary liaison between the CEO, leadership team, employees, vendors, and community partners.
  • Draft professional communications on behalf of the CEO.
  • Coordinate executive communications and ensure timely follow-up on key initiatives.
  • Foster positive working relationships while maintaining professionalism and confidentiality.
Office & Organizational Support
  • Support day-to-day administrative operations across the organization.
  • Maintain organized electronic filing systems and confidential records.
  • Coordinate executive meetings, leadership retreats, and organizational events.
  • Assist with administrative support for office and group home operations as needed.
Human Resources & Administrative Support
  • Coordinate executive interviews and onboarding logistics.

  • Partner with Human Resources on administrative projects and recruitment initiatives.
  • Assist with executive-level employee engagement and organizational initiatives.
Technology & Systems Management
  • Serve as the primary administrator for ClickUp by maintaining projects, templates, workflows, dashboards, and reporting.
  • Recommend technology solutions that improve productivity and collaboration.
  • Support executive leadership in utilizing project management tools effectively.
  • Identify opportunities to leverage automation and technology to streamline operations.
Qualifications Education & Experience
  • Bachelor's degree in Business Administration, Healthcare Administration, Communications, or a related field preferred.
  • Minimum of two (2) years of experience supporting senior executives or leadership teams.
  • Healthcare industry experience required.
  • Experience supporting C-suite executives preferred.
  • Experience with project coordination or business operations preferred.
Technical Skills
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience using ClickUp or similar project management software required.
  • Experience creating presentations, executive reports, and professional correspondence.
  • Familiarity with AI productivity tools (ChatGPT, Microsoft Copilot, etc.) is a plus.
