Job description
Responsible for tracking, coordinating, and supporting regulatory inspections, safety equipment compliance, and training requirements across Centerline Gulf coast operations. This role ensures vessels maintain current certifications, safety-critical equipment is serviced and replaced on schedule, and all relevant parties, including dispatch, operations, port engineers, USCG, and classification societies, are coordinated and informed. The ideal candidate is highly detail-oriented, proactive, and experienced managing concurrent deadlines in a regulated maritime environment.
- Maintain a comprehensive tracking system for USCG inspections, ABS/BV class surveys, drydock and special surveys, and other regulatory events across the Gulf Coast.
- Manage and attend regulatory inspections. This includes tracking dates, preparing for inspection dates, certificate expirations, survey windows, outstanding USCG deficiencies, and ABS/BV conditions of class for all assigned vessels.
- Issue advance notice to operations, dispatch, port engineers, and vessel crews for upcoming inspections and certificate renewals; coordinate scheduling with USCG and class surveyors.
- Ensure all vessel paperwork and certificates are current and in order prior to inspections; review USCG documentation for accuracy and initiate amendments when errors are identified.
- Track all inspection findings, USCG deficiencies, and ABS/BV conditions of class from issuance through closure.
- Coordinate with port engineers, vessel crews, and operations to ensure corrective actions are assigned and completed within required timeframes; maintain a running log by vessel, responsible party, and due date.
- Follow up proactively to prevent findings from aging past resolution dates; support submission of corrective action documentation to USCG or class as required.
- Track and coordinate scheduled service, exchange, and inspection of life rafts, immersion suits, and offshore medical kits.
- Track and coordinate annual fire system inspections including CO2 hydrostatic testing and SCBA flow tests; schedule USCG A1 and A3 inspections with the appropriate service provider.
- Track and purchase pyrotechnics, EPIRBs, SARTs, AED batteries and pads, and associated equipment in accordance with regulatory and manufacturer requirements.
- Maintain complete records of all safety equipment service, exchange, and purchase activity.
- Track SIRE due dates for applicable vessels; issue management inspection notifications 60 days prior to due dates and coordinate scheduling with operations.
- Track open findings from management inspections and follow up with responsible parties through to closure.
- Track crew and shoreside training compliance including Learning Management System assignments and HAZWOPER certifications; identify upcoming expirations and notify relevant parties in advance.
- Maintain training records and generate compliance status reports for leadership as directed.
- Serve as the primary point of escalation for regulatory issues across assigned subsidiaries; represent the compliance function in internal and external meetings as required.
- Maintain complete and organized records for all assigned vessels including certificates of inspection, survey reports, class certificates, safety equipment service records, and regulatory correspondence.
- Perform other duties as assigned.
- Five or more years of experience in a maritime compliance, regulatory, or marine operations role; direct experience with USCG and classification society inspection processes required.
- Demonstrated working knowledge of USCG inspection processes, COI requirements, ABS/BV survey frameworks, Subchapter M, and vessel safety equipment regulations.
- Proficient in Microsoft Office Suite; experience with CMMS platforms (eMaint or similar) preferred.
- Strong written communication skills; able to draft clear, professional regulatory correspondence.
- Exceptional attention to detail with a demonstrated ability to manage a high volume of concurrent deadlines without missing critical dates.
- Self-motivated and persistent in following up with internal and external stakeholders without requiring repeated direction.
- Must handle sensitive regulatory and operational information with discretion.
- Valid driver's license required. TWIC card required or must be obtained within 90 days of hire.
- Standard office environment; primarily sedentary with occasional light physical effort.
- Visits to vessels, shipyards, or USCG and ABS offices will be required.
- Must be able to lift and carry up to 30 lbs.
- Standard office hours are 8:00 a.m. to 5:00 p.m., Monday through Friday.
- Occasional other hours may be required based on inspection schedules, regulatory deadlines, or vessel operational needs.
