American Chillers is a growing chiller manufacturer in Columbia, SC, serving customers in cold plunge, breweries, dry cleaning, medical, and other niche industries. We're looking for a career Office Coordinator โ€” the kind of person customers, suppliers, and our own team all want to keep working with for years. Humble. Hungry. Smart. What you'd own

You'd run the front office โ€” everything that keeps a busy small business on track:

Accounts Receivable (AR):

  • Produce and dispatch customer invoices promptly
  • Document and monitor incoming payments
  • Follow up on overdue accounts and address billing concerns
  • Maintain precise AR records and perform account reconciliations

Accounts Payable (AP):

  • Process vendor invoices and expense claims
  • Guarantee timely and accurate bill payments
  • Reconcile accounts payable transactions
  • Coordinate with purchasing and suppliers to resolve discrepancies

Shipments & Logistics:

  • Organize outgoing shipments with carriers and freight services
  • Prepare packing slips, bills of lading, and associated documentation
  • Monitor shipments and provide status updates to clients
  • Collaborate with production to ensure prompt order fulfillment

Customer Service & Office Support:

  • Act as a primary point of contact for customer inquiries
  • Provide updates on order statuses and swiftly resolve issues
  • Answer phone calls and route communications to the appropriate department
  • Assist with general office tasks, including filing, records management, and managing office supplies

Requirements

  • 3+ years in office management, operations coordination, or senior administrative roles (manufacturing, construction, or trades experience a plus)
  • Strong AR/AP fluency and comfort with ERP and accounting software
  • Excellent written and verbal communication
  • Curiosity about how technology โ€” ERP, automation, AI โ€” can make small-business work better
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and comfort with ERP/accounting software
