GENERAL DESCRIPTION
The Front Office Receptionist responsibilities include expertise in managing the Office, greeting families, answering in person needs and phone calls, and communication with the Administrative Offices.
ESSENTIAL JOB FUNCTIONS
The Executive Director shall define specific hourly employee minimum qualifications that shall include, but not be limited to, the following:
• Provide Christian and academic excellence in the leadership of the school.
• Implement the Mission and Vision Statements, as well as High School initiatives of Crossroads Christian Church & Schools.
• Commitment of time, energy, and effort in developing CCS's vision and program.
• Belief in the basic philosophy of emphasizing the core curriculum.
• Commitment to working with parents as educational partners.
• Strong written and verbal communication skills.
• Knowledge of the developmental needs of learners in Collaborative 21st Century Learning environments.
• Willingness to continue education through additional courses and training, workshops, seminars and staff development.
• Active participation in Department meetings.
• Focus on working closely with all school staff by providing any information regarding a learner's behavior change, attitude and/or classroom performance.
• Take leadership role in some aspect of Crossroad Christian School's development.
• Leadership abilities in areas that promote the mission of the school.
• A comprehensive educational vision that is consistent with the mission of the school.
FRONT DESK RESPONSIBILITIES:
• Serve as the face of the school, offering friendly service to those entering the campus or calling in on the phone.
• Greet and welcome guests and families as soon as they arrive at the office using phone & security door opening system.
• Maintain and ensure reception area is clean and presentable.
• Answering, forwarding, or taking messages for all incoming calls from a multiple line phone system.
• Provide basic and accurate information in-person and via phone
• Ensure no calls are to be put through to Facilitators Classrooms
• Answering questions or issuing correspondence information
• Ensure Guests may not meet with staff unless they have an appointment.
RAPTOR SYSTEM:
• Monitor visitor access with managing Raptor System issuing visitor badges for All visitors/volunteers who are entering the school campus.
• Chapel Days - Families may sign in with "Sign In Clipboard" and receive sticker badge
MANAGE CONFIDENTIAL SIGN IN:
o Log County Social Worker along with signing in with Raptor.
o Contact Administration/CDIAI/Office Coordinator to greet Social Worker and bring to an upstairs office.
o Do not verbally say learners name in office or on phones - "Team" learners name to staff who had been contacted regarding Social Service Worker on campus.
RECEIVE & SIGN - UPS/FED EX DELIVERIES:
o Call / "Team" person package is addressed.
MAINTAIN OFFICE SECURITY AWARENESS:
o Following safety procedures
o All School Paging System
o Earthquake/Lockdown Procedure
ASSIST LEARNERS WHEN ENTERING FRONT OFFICE:
o Assessing illness
o Contacting parents/guardians (not feeling well, sick, hurt)
o Middle School Learners may call parents (observe conversation)
o Learners may lay down on cot to rest and or before calling parent
o Apply Band-Aids (No antiseptics/ointments)
o Apply Ice
ADMINISTER MEDICATION:
o Authorization for Medication Administration Form must be filled out by Physician. (On CCS Website)
o "Over the counter medication form" must be filled out by parent/guardian.
o All Medication MUST be brought in with original medication bottle with instructions labeled.
o Log medication with Learner name for drawer.
o Stored in back room - black cabinet.
o Medication must be logged when administered and call parent if necessary.
o Send out "End of Year" Medication Form Pick up to all families with Learners Medication on Campus.
CONFIDENTIAL NOTEBOOK BINDERS:
§ Emergency / Authorized Pick Up
§ Leaners Allergies / Medical Condition
§ Learner Custody Report
§ During Emergency / Drill (Earthquake, Fire) these notebooks are to be taken outside to field with all Learners / Facilitators / Staff.
ATTENDANCE:
o Maintain clipboard with all Sign into Morning Daycare - File Daily
o Maintain clipboard with all Late Sign-In Learner's - File Daily
o Maintain clipboard with all Early Sign-Out Learner's - File Daily
o Use Confidential Learner Pick-Up/Check-Out List Notebook or on Facts/Renweb for all Learners being signed out of school campus.
o Input all Attendance daily - TK-8th Grade
LEARNER DISMISSAL THROUGHOUT DAY:
• Communicate with Facilitators through "Teams" to alert when a Learner is leaving campus.
FMX - CUSTODIAL IMMEDIATE NEEDS:
• Enter custodial request through "Teams" for repairs and immediate emergency needs.
FIELD TRIP COORDINATOR
The Field Trip Coordinator is responsible for the booking, communication, transportation, and chaperone arrangements for all field trips from K-8th grade.
• Communicate with grade levels regarding locations and timelines
• Book field trips with locations
• Arrange for transportation to and from locations
• Provide all information to families
• Send and collect permission slips, driver's information, and any other information needed
• Track parent volunteer status and communicate with volunteers about the trip
• Coordinate payment with the accounting office
• Provide Volunteer Training when needed
• Communicate with parents about their volunteer status, when needed
• Other duties as assigned

EDUCATION:
• High School Diploma

• Preferred, 2 years of experience in an office setting
WORKING CONDITIONS:
• Able to open and close School Campus Facilities
• Able to keep the campus safe and protected from the public during school hours.
• Able to meet with staff, learners, and parents when dealing with behavioral issues.
• Able to sit and work at a computer keyboard for extended periods of time.
• Able to stoop, kneel, bend at the waist and reach daily.
• Able to perform general office administrative activities: copying, filing, delivering and using the telephone.
• Able to lift and move up to 25 pounds occasionally.
MENTAL WORK DEMANDS AND POSITION REQUIREMENTS:
• Regular and on-time attendance.
• Hours not to exceed 40 hours per week.
• Participation in at extracurricular activities as scheduled such as Back to School Night and Open House
• Attend Briefings and Debriefings when requested.
