Position Summary

The Charter Assistant provides comprehensive administrative and operational support to the Charter Retail Department, ensuring the seamless coordination of all aspects of the yacht charter process.

This role supports Charter Brokers throughout the full charter lifecycle — from client communications and marketing initiatives to contract preparation, database management, and post-charter follow-up. The Charter Assistant plays a key role in maintaining exceptional service standards, flawless communication, and efficient internal coordination.

The ideal candidate is proactive, highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced luxury service environment.

Key Responsibilities

Charter & Broker Support

  • Provide day-to-day administrative support to Charter Brokers.
  • Assist in preparing charter agreements, contracts, and related documentation.
  • Prepare charter details and maintain accurate charter files.
  • Support brokers in generating new business and maintaining high client service standards.
  • Assist with client, captain, charter manager, yacht agent, and port communications.
  • Pull and compile market data from yachting MLS systems.
  • Draft correspondence, letters, and review documents and materials.
  • Maintain and update charter and client databases.

Marketing & Presentation Support

  • Assist in creating customized charter presentations and itineraries.
  • Collaborate closely with the marketing and design teams to prepare marketing materials, presentations, flyers, and marketing plans.
  • Compile monthly Charter Client E-Blasts and coordinate client mailings.
  • Support inventory promotion and marketing initiatives.
  • Assist in planning and coordinating charter shows (e.g., Barcelona, Antigua).
  • Attend and represent the company at yacht shows, open days, and company events.

Administrative & Operational Coordination

  • Manage calendars, meeting schedules, and travel arrangements for brokers.
  • Arrange travel plans and accommodations as needed.
  • Answer telephone calls and greet clients and prospective clients.
  • Coordinate with accounting and other internal departments.
  • Order and maintain department supplies, including stationery and office materials.
  • Perform miscellaneous duties as assigned.

Required Skills & Qualifications

  • Bachelor’s Degree preferred.
  • Minimum 3+ years’ experience as a PA, Charter Assistant, or similar administrative role.
  • Experience in the yachting industry strongly preferred.
  • Working knowledge of yachting MLS systems and related tools.
  • Proficiency in MS Word, Excel, Outlook, and Adobe (basic Photoshop and PDF editing).
  • Excellent grammar, proofreading, and typing skills.
  • Strong written, verbal, and presentation skills.
  • Advanced problem-solving and organizational skills.
  • Bilingual skills are a plus.
