The Community Support Services Associate plays an integral role in supporting the community support services team. The Community Support Services Associate will be focused on delivering the highest level of service through strong interpersonal skills and living the FirstService Residential values. The Community Support Services Associate will be responsible for the preparation and distribution of notices (Budget/AGM/Special Meeting/Turnover/Special Assessment), and any other notice as required, in addition to any other correspondence required by the community support services team.
 
The Community Support Services Associate will have impeccable verbal and written communication skills, a strong ability to multi-task and a friendly demeanor.
 
Duties & Responsibilities
  • Responsible for the creation, editing, formatting and distribution of all CSS tickets within the ticketing platforms including but not limited to:
  • Periodic Information Certificates
  • Information Certificate Updates
  • Chargebacks
  • Violations
  • Correspondence
  • General meeting documentation
  • Ensures records are current, complete and accessible by updating, filing and maintaining a variety of databases, internal directories and drives. Including but not limited to Smartsheet trackers, Sharepoint drives and Connect.
  • Maintain billing submission procedures for chargeback invoices.
  • Liaise with Call Centre resolving issues for Property Managers.
  • Preparation of all record requests through operations, adhering to the Condominium Act’s timelines.
  • Handle process’ such as mail merging, redacting, editing of PDFs.
  • Assist other administrative and operational teams, such as reception as required
Education & Experience
  • Ontario Secondary School Diploma (or equivalent)
  • 3+ years of administration and customer service experience required.
  • Strong administration, communication and interpersonal skills required.
  • All internal candidates must have demonstrated the ability to be flexible, proactive and reliable in their current role
Knowledge, Skills & Proficiencies
  • Works well independently and as a team player, with a passion for customer satisfaction.
  • Excellent written and verbal comprehension and communication skills.
  • Comprehensive knowledge of MS Word, including document formatting
  • Familiarity with internal drive/folder structure
  • Detail oriented, including sufficient knowledge of spelling and grammar to accurately proofread documents
  • Self-starter with the ability to prioritize and multi-task to meet deadlines.
  • Must be self-directed and able to complete projects with limited supervision.
  • Ability to multitask and meet changing deadlines.
  • Highly organized and detail oriented
 
Compensation
Compensation for the role is $42,000 to 44,000 + benefits
