POSITION SUMMARY
The Coordinator, Global Events supports the execution of Global Events, including Explorations, Universities, Global Leadership Conference, and Leadership Academies, with a focus on registration management, attendee experience, communications coordination, and operational logistics. This role works cross-functionally with Event Leads, MSC team members, and technology partners to ensure accurate registration data, seamless communications, and a high-quality attendee experience.
The Coordinator manages all event-related lists and assignments (including rooming, activities, and group placements), supports payment tracking and refunds, and coordinates key communications and logistics. This role also contributes to event content development, SOP maintenance, attendee engagement initiatives, and overall operational readiness across the Global Events portfolio, while providing centralized support across the Global Events Team.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Registration & List Management
  • Manage and maintain all event-related lists, including registration lists, waitlists, rooming lists, activity selections, and group assignments
  • Ensure alignment and accuracy across all platforms (CRM, Cvent, Eventbrite, and internal trackers) in coordination with MSC and technology teams
  • Support payment tracking, reporting, and coordination of attendee refunds
  • Reconcile registration data with hotel rooming lists and internal records and provide accurate and timely reporting to Event Leads and leadership

Communications & Attendee Experience
  • Draft and compile event communication content (registration emails, updates, reminders) for Event Lead review, partnering with the MarComm team to ensure alignment with brand standards and messaging
  • Manage email distribution lists and execution through platforms such as Mailchimp or equivalent providers
  • Set up and manage WhatsApp groups for events to support real-time attendee communication
  • Prepare templates in Canva for onsite communications and event use
  • Support inbound attendee communications, including dietary requirements and general event-related inquiries
  • Partner with Event Leads and MSC team to ensure clear, timely, and consistent communication to attendees

Event Operations & Logistics
  • Coordinate event supplies, packing, and shipping logistics for Global Events and maintain inventory of event materials
  • Prepare the Global Events team for onsite execution, including materials, run-of-show alignment, and registration readiness
  • Manage the onsite registration experience and drive ongoing improvements to registration processes, including coordination of materials such as lanyards, luggage tags, and name badges
  • Support food and beverage coordination by tracking and communicating dietary requirements
  • Update and maintain Event SOPs and process documentation, identifying opportunities for improvement
  • Support the development and ongoing management of Global Events attendee loyalty initiatives and loyalty rewards group
  • Support Event Leads with setup and coordination of MyEO events and pre- and post-event activities, working closely with local attendee groups
  • Liaise with Chapter Managers in host and surrounding chapters to support local engagement and coordination

General Support
  • Support Event Leads and internal stakeholders as needed to ensure successful program delivery
  • Provide administrative and operational support across the Global Events Team, responding to requests from multiple team members and prioritizing needs across concurrent events
  • Assist with small events or additional projects as assigned
  • Other duties as required

QUALIFICATIONS, SKILLS, AND KNOWLEDGE REQUIRED
  • Bachelor's Degree and two or more years administrative experience, association work, event planning or coordination related work
  • Proficiency in MS Excel is a must
  • Proficiency in Microsoft Office presentations tools
  • Exceptional customer service and organizational skills, with the ability to support entrepreneurial audiences with high expectations and attention to detail
  • Demonstrate a solution-oriented mindset and promote quality through continuous performance improvement
  • Works harmoniously and effectively with others as part of a team
  • Knowledge of Canva, project management software like Monday.com, C events desirable
  • A self-starter who desires to show ownership and commitment to the job
  • Ability to travel domestically and internationally up to 15% of the time

POSTING DISCLOSURES
Compensation: EO reasonably and in good faith expects to pay between $56,000 and $64,500 per year for this position upon hire. Final compensation will depend on skills, experience, internal equity, and work location.

Other Compensation: This position is not eligible for bonus, commission, equity, or other incentive compensation.
