Executive Assistant Job Description

Salary: $70,000-$75,000 + Benefits

Overview

The Brooklyn Chamber of Commerce is a borough-wide membership and economic development organization dedicated to helping businesses through promotion, support, advocacy, and its convening authority. Brooklyn Chamber and its affiliate organizations - Brooklyn Alliance and Brooklyn Alliance Capital - provide direct business services, technical assistance, and support programs to help businesses grow. We serve as the foremost resource for doing business in the borough and as a leader in advancing public policy that ensures a vibrant Brooklyn economy.
The Executive Assistant will be supporting the President & CEO and the SVP.

Responsibilities

  • Manage Executive calendars, coordinate meetings & related travel, and resolve scheduling conflicts
  • Prepare meeting agendas, packets, reports, and presentations; take detailed minutes; and follow up on action items
  • Draft, review, and proofread high-level outgoing correspondence on behalf of Executives
  • Monitor and triage incoming communications across various channels, including emails, phone calls, packages, etc.
  • Oversee administrative and event logistics of Board meetings, Committee meetings, and other convenings, including but not limited to preparing key documents, catering, and other supplies
  • Serve as frontline liaison on communications for Board members, major Chamber members, and key external stakeholders
  • Resolve office technical issues and coordinate with IT vendor
  • Assist with personnel matters, such as new employee orientation, staff records & attendance, Employee Handbook, etc.
  • Special projects as directed by Executives

Qualifications

  • Education: Bachelor’s degree or higher
  • Excellent public speaking, verbal, and written communication skills
  • Advanced computer proficiency - Microsoft Office Suite (Outlook, Excel, Word, and PowerPoint)
  • Exceptional organization, documentation, attention to detail, and time management skills
  • High level of discretion and confidentiality
  • Aptitude to be proactive, take initiative, and anticipate needs
  • Ability to multitask and remain calm under pressure
  • Multilingual skills are a plus
