The Front Office Receptionist at the Center for Family and Child Enrichment (CFCE) serves as the first point of contact for patients, visitors, and staff, ensuring a professional, courteous, and welcoming experience while supporting the efficient daily operations of the practice. As a key member of the administrative team, the Front Office Receptionist collaborates with clinical and support staff to facilitate patient access to care and maintain smooth front desk operations.

Responsibilities include greeting and assisting patients and visitors, answering and directing phone calls, scheduling appointments, verifying patient information, maintaining accurate records, processing administrative documentation, and ensuring the reception area remains organized, safe, and welcoming. The Front Office Receptionist also supports compliance with organizational policies, confidentiality requirements, and applicable regulatory standards while delivering exceptional customer service.

Some of the Functions Include:

  • Serve as the first point of contact for clients, visitors, staff, vendors, and other guests by providing professional, courteous, and welcoming customer service.
  • Manage front desk operations, including greeting visitors, overseeing sign-in/sign-out procedures, and issuing and tracking visitor badges.
  • Answer, screen, and direct incoming telephone calls; provide general information, route inquiries to appropriate departments, and take accurate messages.
  • Support Human Resources onboarding and offboarding processes by issuing employee identification badges and building access credentials and coordinating badge deactivation for departing staff.
  • Receive, sort, and distribute incoming mail, packages, and deliveries; coordinate outgoing mail and courier services.
  • Perform a variety of administrative and clerical duties, including preparing documents, maintaining records, making copies, and providing administrative support to the Executive Assistant to the CEO and other Administrative staff.
  • Maintain the reception area in a clean, organized, safe, and professional manner to promote a positive first impression of the organization.
  • Protect client privacy and confidentiality by adhering to HIPAA requirements and organizational policies and procedures.
  • Foster positive working relationships with colleagues and visitors while maintaining a professional appearance, demeanor, and commitment to excellent customer service.
  • Perform other duties as assigned.


Minimum Education

  • High School Diploma or Associate's Degree in a related field
  • Minimum 2 years of front desk or customer service experience, preferably in hospitality or similar fields


Skills Needed

  • Bilingual in Spanish and/or Haitian Creole strongly preferred
  • Ability to work independently and with diverse populations
  • Strong communication, organizational, and customer service skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Outlook, Excel) and standard office equipment
