Job description

We are looking for a Property Administrator to support the successful operation of a residential community in Oakland, California. This is a Contract position for a detail-oriented individual who can balance resident service, team coordination, compliance, and financial oversight in a fast-paced property environment. The ideal candidate will help maintain a safe, well-run community while building productive relationships with residents, staff, vendors, and partner organizations.
Responsibilities:
• Oversee daily property operations to ensure the community remains safe, organized, and responsive to resident needs.
• Guide onsite staff by assisting with hiring efforts, delivering training, setting work priorities, and addressing performance or workplace concerns.
• Maintain compliance with housing regulations, fair housing standards, and internal operating procedures across all administrative activities.
• Coordinate maintenance requests, preventative service schedules, inspections, and vendor work to support the upkeep of the property.
• Manage applicant and resident documentation, including waitlist activity, move-ins, recertifications, and file accuracy in accordance with program guidelines.
• Support the financial administration of the property by tracking records, monitoring budget performance, and partnering on annual budget planning.
• Oversee rent collection, daily deposit reporting, and delinquency follow-up while helping sustain strong occupancy levels.
• Prepare the site for audits and inspections by organizing required records and ensuring documentation is complete and accessible.
• Promote available units in alignment with approved marketing plans and applicable federal, state, and local requirements.• High school diploma or equivalent required.
• At least 1 year of experience supervising staff or leading team operations required.
• Previous property management experience is preferred; a real estate license or Certified Property Manager credential is a plus.
• Familiarity with affordable housing programs such as HUD, Section 8, or Tax Credit environments is preferred.
• Proficiency with Microsoft Office 365 and the ability to learn new business systems quickly.
• Working knowledge of accounting and property operations tools, including accounts payable, accounts receivable, billing, and budgeting processes.
• Strong organizational skills with close attention to detail and the ability to manage multiple deadlines effectively.
