Job description

Responsibilities
Summary:
The Support Specialist provides the Collections departments with administrative assistance by managing collections team payroll, maintaining departmental documents, data entry, and tracking/trending requested data. This position also services as administrator for customer service tracking and assists Blood Operations leadership with administrative duties as assigned. On a regular basis, the Support Specialist will serve as backup to other Blood Operations administrative roles.
Schedule: Monday - Friday business hours
Job Responsibilities:
  • Maintains departmental documents and spreadsheets, such as contact lists, rosters, and unregulated forms.
  • Updates and/or creates memos, newsletters, and emails to effectively communicate information
  • Tracks and trends performance and assists management with evaluation of data.
  • Fulfills equipment and document orders as necessary to meet operational needs.
  • Assist Donor Services leadership with meetings to include invitations, agendas, set-up/take-down, ordering food, uploading presentations, attendance, etc.
  • Distributes incoming mail and documents to the appropriate Donor Services team member or leader.
  • Assists with purchasing, travel, and expenses as necessary.
  • Assists Production Planning and Scheduling as needed with data entry, equipment requests, documents/forms, information tracking, or other department support.
  • Collections Payroll - Ensure Collections team members are properly compensated for work performed and accurately reimbursed for mileage incurred.
  • Maintain timecards in the timecard tracking software for Collections teams.
  • Review exceptions, holidays, over time, and other special circumstances that impact compensation with the collections team member and appropriate manager.
  • Audit and prepare mileage reports for reimbursement of team members' mileage.

The hourly rate for this position is $19.72/hr. - $22.19/hr.
