Education/Certification Required:

  • High School graduate and/or business school

Function: 
The Administrative Assistant to the Coordinator of Bilingual and ESL Programs performs general secretarial and clerical duties, including maintaining files, utilizing database systems, requisitioning and purchasing of instructional materials, supplies and equipment, answers the telephone, relays messages and maintains the Coordinator's schedule. Additional duties include assisting Bilingual and ESL Program Specialists in the compilation and maintenance of reports, budget reports, and dissemination of communications. The Administrative Assistant performs all other job-related duties relative to Title III and Bilingual/ESL programs



Reports To: 
Coordinator for Bilingual and ESL Programs



Responsibilities: 

  • Performs general secretarial duties i.e, answers telephone, relays messages, opens and distributes mail, processes payroll, and collects various information
  • Types and maintains files of correspondence, reports, office records and other information relative to the Title III / Bilingual Education
  • Assists with typing letters, memoranda, board action items and reports, transmittals, equipment and supply lists, requisitions, and other items as needed
  • Maintains expenditures and balance records for the Title III
  • Makes appointments, schedule meeting sites and times, assists in contacting participants for various meetings and activities, and maintains a calendar of daily activities for the Coordinator
  • Performs other job-related duties as assigned by the Coordinator

Working Conditions: 

  • Ability to receive information and/or instruction from internal/external customers through spoken expression
  • Ability to manipulate tools/equipment/keyboards
  • Ability to convey information and/or instruction to internal/external customers through spoken expression
  • Ability to perform work while standing and/or walking for extended periods, up to eight (8) hours a day
  • Ability to see detailed information, naturally or with correction
