Job description

About ASD Surfaces
ASD Surfaces is a luxury surfaces dealer serving the design and build industry since 2005, supplying high-end tile, stone, wood flooring, and fixtures across two South Florida showrooms. This role reports directly to the owner and is central to stabilizing and maintaining the company's financials.

Position Overview
ASD Surfaces is seeking a hands-on Bookkeeper to take full ownership of accounting, inventory accuracy, and financial reporting. This role is critical to stabilizing and maintaining clean financials, aligning inventory, and ensuring accurate, timely visibility into business performance. This is an execution-focused role, not advisory — the Bookkeeper will be actively working within our ERP system daily and driving results across accounting and operations.

Key Responsibilities

Financial Management

  • Manage full-cycle accounting (AR, AP, GL, bank reconciliations)
  • Prepare monthly financial statements (P&L, Balance Sheet, Cash Flow) for owner review
  • Maintain accurate and up-to-date books

Reporting & Analysis

  • Produce weekly reports: revenue by salesperson, job costing and margins, open orders and backlog, and cash flow position
  • Ensure leadership has clear, reliable financial data

Inventory & Cost Control

  • Maintain accurate inventory records within the ERP
  • Reconcile in-transit, consignment, and warehouse inventory
  • Identify and resolve discrepancies

ERP & Systems

  • Work within and maintain the ERP system (Stone Profits) daily
  • Ensure proper workflow from Purchase Order → Receiving → Allocation → Invoicing
  • Keep system records accurate and flag issues for resolution
  • Support the team on correct system usage and document procedures

Accounts Payable & Receivable

  • Manage vendor payments and customer balances
  • Track deposits, credits, and outstanding invoices
  • Resolve discrepancies and clean up accounts

Operational Coordination

  • Work with sales, purchasing, and logistics teams
  • Track incoming materials and ensure order readiness
  • Support commission calculations and reporting

Process Improvement

  • Help develop and maintain SOPs for accounting and inventory
  • Support controls that ensure consistency and accuracy

Qualifications

  • 3+ years full-charge bookkeeping experience (full cycle through trial balance)
  • Strong ERP system experience (required); understanding of inventory accounting across in-transit, consignment, and 3PL/warehouse environments
  • Experience with job costing and margin analysis in a project-based or materials business
  • Ability to reconcile complex accounts and identify discrepancies quickly
  • Advanced Excel skills (pivot tables, reporting, data analysis)
  • Experience preparing monthly financial statements and weekly reporting
  • Strong command of AR, AP, and cash flow management
  • Highly detail-oriented, organized, and able to take full ownership and work independently
  • Experience in construction, distribution, or a related industry preferred

Preferred Skills

  • Experience with Stone Profits, NetSuite, VISCO, or a comparable inventory ERP
  • Knowledge of sales tax processes and multi-jurisdiction compliance (Avalara a plus)
  • Experience calculating and managing sales commissions
  • Ability to build and follow SOPs across accounting and operations
  • Strong problem-solving skills in a fast-paced environment
  • Excellent communication skills, with the ability to explain financial information clearly
  • Comfortable stepping into a business that requires cleanup, organization, and process implementation

Compensation & Benefits

  • $62,000–$80,000 per year, based on experience
  • Performance-based bonus tied to accuracy and reporting
  • 50% employer-paid health insurance
  • 401(k) with 3% Safe Harbor match
  • On-site role at our North Palm Beach showroom
