About the Role
WaveCrest Legal, P.A. is looking for a personable and professional Client Intake & Front Desk Coordinator to serve as the first point of contact for potential and existing clients and the welcoming face of our Jacksonville Beach office. This role guides potential clients through the intake process and helps keep the day-to-day office organized and running smoothly. 
Responsibilities

  • Greet and assist potential and existing clients in person, over the phone, and by email
  • Manage client intake from first contact through post-consultation follow-up and, when the firm is hired, ensure a clean handoff to the appropriate team
  • Schedule consultations and maintain attorney calendars
  • Enter and maintain client information in the firm’s case management system
  • Keep clear and complete notes and documentation of all communications
  • Coordinate communication between clients, attorneys, and team members
  • Handle incoming and outgoing mail and deliveries, including scanning and routing documents
  • Maintain a welcoming and organized office environment, including monitoring and ordering office supplies
  • Ensure confidentiality and comply with legal and ethical standards when handling sensitive information
Requirements
  • 1-3 years of experience in a front desk, intake, client service, or professional office role; law firm experience is a plus, but not required
  • Strong interpersonal and communication skills with a client-first attitude
  • Highly organized with strong attention to detail and follow-through
  • Comfortable learning and using technology, including case management and other office software
  • Comfortable communicating and working with both in-office and remote team members
  • Ability to manage multiple priorities in a fast-paced professional office
  • Ability to handle sensitive information with discretion and confidentiality
  • Reliable and punctual
  • High school diploma required; associate's or bachelor's degree a plus
