Job Title: CASA Administrative Support Specialist
Department: CASA
Reports to: CASA Program Director
Hours: Part-time (15-20 hours per week)
Type: Hybrid (In-person/remote work schedule)
FLSA: Non-Exempt
A. Overview
The Administrative Support Specialist will work closely with CASA program staff on administrative and basic data reporting tasks associated with the operation of the program and will report to the CASA Program Director. This position requires professional communication skills necessary for interaction with staff, volunteers, and organizations, attention to detail, and the ability to respect the confidentiality of the information presented.
B. Duties and Responsibilities
  • Manage the printing, electronic posting, and distribution of training materials for new volunteers.
  • Manage the printing, mailing, and filing of time sensitive and confidential case materials.
  • Assist the Program Director with background check screenings of staff and volunteers, including maintaining confidential case files of background check materials
  • Manage incoming mail, including scanning, filing and emailing case materials for off-site staff.
  • Conduct regular archiving of case files.
  • Run periodic data management reports and follow up and resolve incomplete or missing information.
  • Assist with monthly grant reporting activities.
  • Communicate with collateral agencies (e.g., DCF, medical offices, court) to obtain case materials.
  • Assist program director with volunteer recruitment, and onboarding of new volunteers
  • Assist with administrative-focused marketing and fundraising tasks, including assistance with the program's social media presence
  • Perform other administrative tasks, as requested by the Director.
  • Other duties as assigned.

Requirements
C. Qualifications
  • Highly proficient in Microsoft Office software and an aptitude to learn other software and databases.
  • Associate's Degree or equivalent work experience.
  • Capable of working independently, or within a team structure.
  • Strong work ethic with attention to detail.
  • Strong communication skills, both written and verbal.
  • Experience and competency working with diverse families and cultures.

COMPENSATION AND BENEFITS
  • This is a 15-20 hour per week, non-exempt position with a pay range of $18-$19 per hour, commensurate upon experience.
