Summary:

The HQ5 Operations Specialist is a member of the HQ5 operations team and is responsible for maintaining the aesthetic appearance and cleanliness of a high-end office environment. The incumbent will provide consistent and effective level of service to the building occupants and guests. Duties cover a widespread, from event planning/support, cleaning, inspecting, walkthroughs, and more. The incumbent works collaboratively to ensure exceptional, thoughtful, and secure employee and guest experiences at Cape Cod 5’s headquarters (HQ5).

ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES:

  1. Provide consistent and effective level of service to building occupants and guests.
  2. Event support duties including:
    1. Set up and breakdown of the community/event rooms as directed.
    2. Respond promptly to guest requests and special needs.
    3. Deliver food and beverages to guests in a professional manner.
    4. Collaborate with event coordinators and kitchen staff.
    5. Maintain cleanliness and organization of event areas.
    6. Oversight and coordination with event vendors such as entertainment, AV, table, tent, chair, and linen rentals, etc.
  3. Keeps assigned areas, such as reception, shared areas, pantries, and restrooms in a clean and orderly condition at all times.
  4. Conducts regular daily inspections of conference rooms: ensure conference room tables, dry-erase white boards and walls are clean; white boards are wiped clean; chairs are pushed in/lined up, technology components neat and in working order with wires stowed neatly/safely.
  5. Completes daily and weekly facility related tasks and duties such as daily walk-through, equipment inspection, reporting deficiencies, addressing all system tickets.
  6. Interior and exterior light maintenance duties as needed including:
    1. Proper care, movement, storage of all equipment such as tables, chairs, risers, dance floor, etc.
    2. Restock supply cabinet/room.
    3. Oversee coffee bars throughout building – ensuring cleanliness and availability of supplies.
    4. Coordinate and monitor central office supplies, ensuring availability and organization for employees.
    5. Waste removal (empty trash and recycle bins, transport trash, and waste to proper disposal areas)
    6. Restroom maintenance (empty trash, restock products, clean glass/mirrors/counters, and partitions)
    7. Floor care (vacuuming, mopping, carpet spot cleaning)
    8. Surface care (dusting, sanitizing, metal/wood polishing)
  7. Escorts tradespersons, and vendors as needed. 
  8. Ensures that office equipment is operational and properly maintained. Trouble-shoots problems as needed.
  9. Responds to service desk tickets as assigned.
  10. Completes special support projects, as necessary.
  11. Completes daily and weekly tasks related to vendor invoice management and billing, ensuring invoices are submitted on a timely basis.
  12. Other duties as assigned.

QUALIFICATIONS:

EDUCATION & CERTIFICATIONS: 

  • High school diploma or equivalent 

EXPERIENCE:

  • Minimum of three years’ experience in hospitality industry, customer service, or facilities maintenance

KNOWLEDGE, SKILLS & ABILITIES:

  • Excellent interpersonal skills with ability to motivate and positively influence others
