A CAPA (Corrective and Preventive Action) Manager is responsible for overseeing an organization's CAPA process to ensure compliance with quality and regulatory requirements. They investigate quality issues, identify root causes, and implement corrective and preventive measures to prevent recurrence. CAPA Managers work closely with cross-functional teams to improve processes, maintain regulatory compliance, and enhance overall product or service quality.

What are the key skills and qualifications needed to thrive as a CAPA manager?

To thrive as a CAPA Manager (Corrective and Preventive Action Manager), you typically need a background in quality assurance, strong analytical and problem-solving abilities, and experience with regulatory compliance, often supported by a degree in a science or engineering field. Familiarity with quality management systems (QMS), risk management tools, root cause analysis methodologies (such as 5 Whys or Fishbone diagrams), and industry certifications like Six Sigma or ISO 9001 are highly valued. Outstanding candidates demonstrate excellent communication, leadership, and organizational skills to effectively drive cross-functional teams and ensure timely resolution of quality issues. These skills are crucial for identifying, addressing, and preventing compliance gaps or product issues, thereby maintaining high standards and avoiding costly regulatory penalties.

What are some common challenges a CAPA manager faces, and how are they typically addressed?

One common challenge CAPA Managers face is ensuring timely and thorough investigations into quality issues while coordinating input from multiple departments. Balancing the need for fast resolution with the rigor required for regulatory compliance can be demanding, especially in highly regulated industries like pharmaceuticals or medical devices. Successful CAPA Managers often address these challenges through clear process documentation, effective project management, and fostering strong collaboration among stakeholders. By leveraging root cause analysis tools and maintaining open communication, they help create a continuous improvement culture that benefits both the organization and its customers.

The Coordinator plays a key role in continuous improvement, quality assurance, workforce effectiveness, and strict enforcement of operational standards and system compliance.

Key Responsibilities

  • Replace subjective floor observations with objective, data-driven insights.
  • Provide actionable recommendations to improve labor efficiency and reduce downtime.

3. Problem Solving & CAPA Management

  • Lead root cause analysis for CAPA (Corrective and Preventive Action) tickets generated.
  • Develop and implement permanent corrective actions to prevent recurrence of defects.
  • Track and report on resolution effectiveness.

4. Operations Oversight (Red Tag Zone Management)

  • Provide final authorization for disposition decisions on units in the Red Tag Zone (RTZ), including rework, release, or scrap.
  • Ensure timely resolution of held inventory to maintain production flow and minimize financial impact.

5. Talent Management & Workforce Recommendations

  • Provide data-driven recommendations for hiring, promotions, and terminations based on Coordinator scorecards and performance metrics.
  • Support leadership in building high-performing teams through objective evaluation and accountability.
  • Contribute to onboarding and performance management processes.

6. Cross-Functional Collaboration

  • Act as liaison between assembly operations and Manufacturing Engineering.
  • Collaborate to resolve systemic build issues and improve product manufacturability.

7. Leadership, Compliance & System Enforcement

  • Translate executive-level production goals into clear, actionable metrics for the assembly floor.
  • Monitor performance against targets and drive accountability across teams.
  • Enforce company policies, safety standards, and operational procedures consistently across the floor.
  • Assume full responsibility for ensuring all employees accurately clock in and out of jobs/tasks within NetSuite, enforcing compliance with time-tracking requirements without exception.
  • Audit systems usage regularly to ensure integrity of labor data and address non-compliance immediately.
  • Foster a culture of accountability, discipline, and continuous improvement.

Qualifications

  • Strong analytical skills with experience using ERP systems (NetSuite preferred) and production data.
  • Proven experience in manufacturing, assembly operations, or process improvement roles.
  • Demonstrated ability to lead problem-solving initiatives and drive measurable results.
  • Ability to enforce rules, policies, procedures, and system compliance consistently and effectively.
  • Excellent communication and cross-functional collaboration skills.

Additional Expectations
