KEY FUNCTION:
Provide professional, confidential, and efficient clerical and administrative support to the Mobile Health Unit's Cancer Screening Programs (e.g. Ontario Breast Screening Program (OBSP), Ontario Cervical Screening Program (OCSP), ColonCancerCheck (CCC)) and Preventive Health Services. Support the day-to-day operations of both fixed and community-based cancer screening and preventive health services, ensuring efficient, timely, and client-centred care across the region.

REPORTING:

Under the general direction of the Coordinator, Mobile Health Unit.

DUTIES:
1. Register patients and schedule appointments using Community Wide Scheduling (CWS), Expanse, and the Integrated Client Management System (ICMS).

2. Book client appointments and coordinate exam scheduling in support of mobile cancer screening trailer and in conjunction with community sites.

3. Answer and screen phone calls; relay messages and provide general information to patients, families, and healthcare workers as required.

4. Serve as the primary point of contact for patients attending the mobile cancer screening trailer, providing courteous and professional service.

5. Type, photocopy, and fax routine correspondence.

6. Identify, verify, and enter client information into databases, ensuring accuracy and completeness.

7. Perform clinical chart reviews, run reports, and extract and record data as required.

8. Perform data entry and manage data spreadsheets related to mobile screening program activities.

9. Process patient report sheets for respective screening tests.

10. Create and maintain filing systems; store, retrieve, and index confidential patient records and clinical documentation.

11. Enter exam information and other medical information into electronic databases as required.

12. Assist in the preparation and organization of materials and supplies required for mobile trailer outreach visits.

13. Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards, and guidelines.

14. Contribute to learner development by providing academic support, mentorship, preceptorship and supervision as required.

15. Participate in hospital training as required.

16. Assist with quality improvement initiatives as required.

17. Perform other duties as required.

QUALIFICATIONS
EDUCATION AND TRAINING:

1. Minimum of a one (1) year Diploma in a Medical Office Administration or related field, from an accredited college.

2. Ministry of Labour "Worker Health and Safety Awareness in 4 Steps" training certificate is required.

EXPERIENCE:

1. One (1) year recent relevant experience within the last five (5) years is preferred.

KNOWLEDGE/SKILLS/ABILITIES:
1. Demonstrated knowledge of and proficiency in Medical Terminology.

2. Demonstrated ability to type a minimum of 50 words per minute.

3. Demonstrated proficiency in data entry, including data verification and extraction.

4. Demonstrated reading comprehension skills and ability to identify relevant clinical information.

5. Demonstrated ability to independently identify issues, plan improvements, measure success, and continue improvement.

6. Demonstrated discretion and maturity when handling confidential information.

7. Demonstrated ability to work effectively and efficiently as a team member in a fast-paced environment.

8. Demonstrated computer skills with advanced proficiency in Microsoft Office software (e.g. Word, Excel, Outlook) and applicable patient information systems (e.g. Meditech Expanse and ICMS).

9. Demonstrated ability to effectively interact and communicate with patients, families, and healthcare workers.

10. Demonstrated interpersonal and communication skills.

11. Demonstrated ability to prioritize tasks.

12. Demonstrated compliance with HSN's privacy policy.

13. Demonstrated commitment to the safety of co-workers and patients.
