Job description

Camp Enrollment & Community Outreach Manager
Eagle's Nest Foundation (ENF) is a non-profit that promotes the natural world and the betterment of human character through experiential education programs.ย  ENF supports three programs:ย  Eagle's Nest Camp (a residential, summer camp for children ages 6-17), Hante Adventures (an off-site adventure program for teens), and The Outdoor Academy (a residential semester school for high-performing 10th grade students).
The Camp Enrollment & Community Outreach Manager is the first point of contact for most of our campers and their families. Whether by delivering events that invite potential campers and caregivers to experience a taste of Eagleโ€™s Nest on the road, or building connections when a family reaches out for more information, this position is key for establishing an understanding of what makes Eagleโ€™s Nest Camp and Hante Adventures so special. Responsible for all Camp / Hante enrollment and promotion, this position reports directly to the Eagleโ€™s Nest Camp Director and has the option of housing on campus in Pisgah Forest, NC. This position collaborates heavily with the Marketing Manager on tasks related to specific campaigns, digital media, communication, and photo sharing with ENC families, as well as other members of the โ€œCamp A-Teamโ€ and members of the Eagleโ€™s Nest Foundation staff.
Primary responsibilities:
A. Camp Enrollment (included, but not limited to)
  • Perform all aspects of enrollment for summer camp in a timely fashion - maintaining enrollment list, reconciling accounts, and allocating payment information to accounts.
  • Answer inquiries concerning availability and enrollment process. Send promotional packets. Coordinate additional contact between prospects and members of the camp marketing team.
  • Support caregivers through all aspects of the camp enrollment process from registration to check in.
  • Systems Administrator for electronic registration and health forms system used for Camp and Hante. (Currently using CampDoc.)
  • Be the registration liaison between camp and partnering organizations.ย Process enrollments, coordinate review of participants to be completed by camp staff, manage the financial aid budget for approximately 15 - 18 campers from partnering agencies.
  • Assist with forms and information related to international or "travel to" Hantes - billing and receiving payment for flights, collecting and verifying passports and notarized Parentย  Permission forms, and also troubleshooting flight problems and mailing of gear to participants. Coordinate camper trunk shipping.
  • Assist Camp Director and Camp management team with ACA Accreditation.
  • Maintain and reconcile financial records related to Camp/Hante tuition payments and canteen settlement. Coordinate all bank deposits through established protocols with the Business Office. Handle all camp related billing.
  • Create financial aid applications with review from the Camp Director. Receive inquiries and organize applications for camperships/ financial aid. Serve on the financial aid committee. Communicate financial aid decisions with families, including continued negotiations as needed.

B. Summer Duties for Camp (included, but not limited to)
  • Coordinate camper/participant travel plans and shuttle services.
  • Assist the JC Coordinators with receiving and checking in JCs on their arrival day.
  • Work with Camp Health Staff during the summer to pull lists of medications and allergies for cabins and kitchen.
  • Greet Health Hut staff upon arrival day before session and train Health Hut staff on CampDoc. Serve as primary administrator and resource for Health Hut on CampDoc.
  • Archive all health forms (participants and staff) for previous camp season at end of season.
  • Create diet and food allergies lists by table for Head of Whole Kitchen.
  • Print and coordinate After Summer Cabin Postcards for campers with Marketing Manager and In-Camp Program Manager.
  • Request donations of remaining canteen money, transfer donations and notify the Development Office.
  • Assist the Office Manager as needed with running the camp store (Canteen).ย 
  • Print and coordinate the completion and distribution of Nest News in each session.
  • Administrator on duty (AOD) shifts 1-2 times per week.
  • Responsible for archiving closing Camp/Hante season in Salesforce and CampDoc.ย 
  • Launch upcoming camp season forms, programs, discounts, and Add-ons in CampDoc.

C. Community Outreach (included, but not limited to)
  • With Camp and Executive Directors, design signature โ€œNestโ€ experiences: Create low-friction, high-value, in-person events that showcase the mission and essential elements of Eagleโ€™s Nest Camp and all Eagleโ€™s Nest Foundation programs.
  • Work with Camp Director, Annual Fund & Alumni Coordinator, OA staff, and Executive Director to build the annual ENC promotions calendar.
  • Identify and empower our most vocal advocates. Develop the rewards, tools, and โ€œsocial currencyโ€ they need to refer new families effortlessly.
  • Strategic partnerships: Build deep relationships with schools, museums, libraries, and youth sports leagues to grow our market in already strong and emerging ENC communities locally and nationally.ย ย 
  • On campus event management: Open House, tours, and school visits, for example.
  • Collaborate with Marketing Manager to develop and provide communication content. This includes โ€œsocial proofโ€ content (video, photos, testimonials) that can be used for digital promotion campaigns.
  • Update Camp, Hante, Financial, and Added Adventure website pages.
  • Work with the Marketing Manager and Camp Director to create email templates for camp use and to create postcards and other printed promotional materials.
  • Meet monthly with an SEO support partner. Assist with crafting marketing plans, key words and analyzing results of effectiveness.
  • Develop and maintain budget and receipt tracking for Camp and Hante adsย 

Qualifications and Experience:
Required:
  • Experience in Experiential Marketing: 4+ years in event production, field marketing, or community engagement - ideally in a โ€œhigh touchโ€ industry like education, camp, youth sports, or family-focused experiences.
  • 4 year degree or experience equivalent, preferably in education, communication, or marketing.
  • Understanding of experiential education and how to translate conceptual to concrete when sharing the unique features of Eagleโ€™s Nest Camp / Hante Adventures.
  • Strong discipline and ability to build and employ systems.
  • Warm pro-social presence and ease with new people and large groups.
  • Places high value on fostering inclusivity, belonging, and diversity as aspects of a thriving community.
  • Networking ability and proven experience.
  • Genuine interest in young people and their caregivers.
Compensation and Benefits:
