Job description

Position Summary
We are seeking a highly organized and proactive Office Administrator to provide administrative support to the offices of CableCom and Midwest Fiber Networks. This position will perform general office duties and work closely with the Accounting and HR department, to ensure efficient day-to-day operations. This position offers an opportunity to contribute to a dynamic organization with diverse responsibilities.
Please note: This position will be reporting to our temporary office in Wauwatosa, WI, until renovations at our Glendale location are complete.
Duties
  • Sort and distribute incoming mail
  • Conduct reference checks for prospective employees, as directed by HR
  • Coordinate company apparel ordering and act as point of contact for apparel vendor
  • Coordinate vendor relationships and manage procurement of office supplies and services
  • Plan and organize company events, meetings, and training sessions
  • Maintain office supplies inventory and ensure office equipment functionality
  • Match A/P material invoices with purchase order receipts and obtain proper authorization for payment of invoices
  • Process monthly recurring invoices to be paid by vendor due dates
  • Process weekly check run for timely vendor payments
  • Audit monthly cell phone invoices and credit card statements
  • Process annual 1099's
  • Reconcile account statements and other discrepancies
  • Other duties as assigned

Experience
  • Minimum of 3-5 years experience in an administrative office role
  • Experience with multi-entity accounting highly preferred
  • Minimum of Associate Degree preferred
  • Prior accounts payable experience
  • Ability to work independently, prioritize work and manage time effectively
  • Must proficient in the use of Microsoft Office
  • Must be detail oriented and able to function efficiently and accurately with minimal supervision
  • Excellent communication skills, including phone etiquette and professional interaction skills
