Job description

Rushton is one of Northeast Georgia’s largest and most respected accounting firms in the region for over 40 years and is seeking a Business Systems & Operations Specialist in our growing Administration Division.


The Business Systems & Operations Specialist administers the firm’s business systems and technology platforms, maintains operational data, produces management reporting, manages user access and software resources, supports employees, and coordinates system improvements. The position collaborates with firm leadership, staff, vendors, and consultants to improve efficiency, data quality, system use, and operational effectiveness.


This is an in-office position based in Gainesville, Georgia. Candidates must be able to work onsite. Relocation assistance and reimbursement of relocation expenses are not available.


Essential Duties and Responsibilities:

Business Systems and Data Management

  • Administer and maintain firm-wide business systems, databases, workflows, user access, security permissions, and software licenses.
  • Support the firm’s practice management system.
  • Maintain data integrity, create and update operational records, troubleshoot issues, and assist with software implementations, upgrades, and integrations.

Reporting and Analytics

  • Develop and distribute operational and financial reports.
  • Use advanced Excel functions, PivotTables, dashboards, data validation, and analytical tools to reconcile data, identify discrepancies, and provide meaningful business insights.
  • Support leadership decision-making and streamline recurring reporting through standardized workbooks, templates, queries, and other appropriate automation tools.

Technology Support and Administration

  • Provide day-to-day support for employees using firm software and technology resources.
  • Manage user accounts, permissions, security groups, system access, onboarding, offboarding, training, and documentation.
  • Support information security awareness and coordinate with internal and external technology resources to resolve issues.

Process Improvement and Innovation

  • Identify and implement opportunities to improve efficiency, accuracy, and productivity through process improvements, automation, artificial intelligence, and technology solutions.
  • Evaluate and use approved AI and emerging technologies to streamline reporting, data analysis, workflows, documentation, and administrative processes.
  • Develop standardized templates, reports, and workflows that improve consistency and operational effectiveness while protecting confidential information.

Vendor and Software Management

  • Coordinate vendor relationships, software renewals, licensing, subscriptions, and related invoice reviews.
  • Evaluate technology solutions and recommend improvements that support firm objectives, data quality, and user experience.


Knowledge, Skills and Abilities:

  • Advanced Microsoft Excel skills, including PivotTables, dashboards, XLOOKUP, INDEX/MATCH, SUMIFS, COUNTIFS, data validation, reconciliation, and large dataset analysis.
  • Strong analytical, problem-solving, reporting, and data management skills.
  • Experience administering business applications, databases, workflows, user access, and software resources.
  • Familiarity with approved AI, automation, and emerging technology tools used to improve efficiency and productivity.
  • Strong technology troubleshooting, user support, organization, project coordination, communication, and interpersonal skills.
  • Ability to manage multiple priorities, maintain confidentiality, work independently, and explain technical information clearly to non-technical users.


Qualifications:

  • Bachelor’s degree in business, accounting, information systems, data analytics, finance, or a related field preferred; equivalent relevant experience may be considered.
  • Prior experience supporting business applications, operational systems, reporting, data analysis, or systems administration.
  • Demonstrated advanced Excel experience, including complex workbooks, reconciliations, PivotTables, dashboards, and management reporting.
  • Experience with automation, approved AI tools, professional-services systems, and vendor coordination preferred.
  • Knowledge of and/or experience with NetSuite preferred. 
  • Experience with Microsoft 365 administration preferred.
