Job description

This exempt position supports the Firm's financial business systems as part of the New Business Intake team. The Senior New Business Intake Analyst handles complex intake activities, assists with workflow administration, and serves as a key operational resource in the client/matter intake and maintenance processes. Working closely with the New Business Intake Manager, this role ensures efficient intake operations, maintains data integrity, and provides consistent application of firm procedures to deliver high-quality service to attorneys and administrative departments.
The ideal candidate will have a collaborative mindset, exceptional attention to detail, and the ability to work effectively under pressure. This position requires critical thinking, sound judgment, and strong problem-solving skills to analyze and resolve complex business process needs using the Firm's technologies.

Essential Duties

  • Review and process complex client and matter intake requests in accordance with firm policies and established procedures

  • Assist with escalated intake matters requiring additional analysis, workflow coordination, or collaboration with attorneys and administrative departments

  • Assist with administration and monitoring of intake workflow processes to support timely completion of requests and adherence to established procedures

  • Serve as a resource to Business Intake Analysts and firm personnel regarding intake procedures, workflow requirements, and system functionality

  • Identify workflow issues, recurring trends, and opportunities to improve efficiency, consistency, and data quality, and provide recommendations to the New Business Intake Manager.

  • Collaborate with attorneys, secretaries, and risk management to ensure smooth intake processing.

  • Manage data associated with clients and matters for departing attorneys.

Other Duties

  • Participate in projects involving business intake, workflow automation, matter management, and related financial systems

  • Assist with the development and maintenance of intake processes and standards to ensure overall client and matter data quality.

  • Assist with the development and maintenance of intake procedures, workflow standards, process documentation, and reference materials

  • Assist with onboarding and training of Business Intake team members and provide knowledge sharing regarding intake processes and systems.

  • Assist with the development, maintenance, and execution of related end user training programs.

  • Act as liaison between accounting and other teams or departments as needed.

  • Perform related duties and other projects assigned.

Reporting Relationship

This Business Intake Analyst position reports directly to the New Business Intake Manager.

Qualifications
Knowledge/Experience

This individual should possess a minimum of 4 or more years of experience supporting business intake, matter management, workflow administration, financial operations, legal operations, professional services operations, or related business process functions. Experience working with automated workflow systems and enterprise business applications is required.

Candidates should demonstrate experience handling complex business process requests, coordinating across multiple stakeholders, participating in process improvements, supporting system enhancements or testing, and providing user guidance or training. Law firm intake, accounting, conflicts, or similar professional services operations experience is preferred.

  • Intermediate proficiency in Microsoft Excel, Word, and Outlook

  • Aptitude and willingness to learn new software/applications; Intapp Intake experience a plus

  • Ability to work independently and collaboratively with diverse personalities at all levels

  • Ability to maintain confidentiality and adapt to changing business needs


Education

Bachelor's degree from an accredited institution preferred and/or advanced certifications in business process management, such as, PMP or Six Sigma.


Physical Demands

Must be able to move around the office up to 15% of the time to make copies, fax, file, etc. Remains stationary at least 85% of the time. This position operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.) on a regular basis. Occasionally required to move documents or files weighing up to 15 lbs. This position requires constant communication and exchange of information with the Firm attorneys, clients and staff. This position must be able to inspect and observe information on a computer screen at least 80% of the time.
