POSITION SUMMARY:
The Business Office Manager assists the Executive Director in ensuring that all functional areas required to operate the facility are always covered. The Business Office Manager's primary duty consists of managing and overseeing the accounting and general bookkeeping of the facility.
1. Financial Management
  • Oversee billing, collections, and resident account management.
  • Manage accounts payable and receivable.
  • Prepare monthly financial reports and budgets.
  • Ensure payroll is accurate and processed on time.
2. Human Resources Support
  • Assist with new hire onboarding, paperwork, and compliance documentation.
  • Maintain employee records and coordinate benefit enrollment.
  • Track time off, attendance, and performance documentation.
3. Resident Records and Admissions
  • Manage resident contracts, admission paperwork, and financial agreements.
  • Ensure accurate and up-to-date resident records (personal, medical, financial).
  • Work with families and residents on billing and financial questions.
4. Office Administration
  • Oversee day-to-day office operations including supply ordering and inventory.
  • Maintain filing systems (digital and physical) for resident and staff documentation.
  • Serve as a liaison between departments, families, and external partners.
5. Regulatory Compliance
  • Ensure documentation complies with state and federal regulations.
  • Prepare for audits, inspections, and surveys.
  • Maintain confidentiality and data security according to HIPAA and company policy.
6. Customer Service
  • Respond to inquiries from residents, families, and staff in a professional manner.
  • Help resolve complaints or billing disputes.
  • Support the leadership team in creating a welcoming, responsive office environment.
