What is the difference between Building Reception vs Building Concierge?

AspectBuilding ReceptionBuilding Concierge
Primary RoleGreeting visitors, managing access, and handling inquiriesProviding personalized services, assisting residents or tenants, and coordinating amenities
Work EnvironmentFront desk area in commercial or residential buildingsLobby or common areas with a focus on resident or guest services
CredentialsBasic customer service skills, sometimes security or reception trainingCustomer service, hospitality, or concierge certifications often preferred

Building reception staff primarily handle visitor check-ins and inquiries, while building concierges offer personalized services and assist residents or tenants. Both roles are customer-focused but differ in scope and responsibilities, with concierges providing a higher level of service and assistance.

What is a building receptionist?

A building receptionist is an administrative professional who manages the front desk of a building or office, greeting visitors, answering phones, and directing inquiries. They often handle security procedures, maintain visitor logs, and use communication tools like phones and intercom systems to support daily operations.

What qualifications do you need to be a building receptionist?

Building receptionists typically need a high school diploma or equivalent, strong communication and customer service skills, and proficiency with basic office software. Some positions may require previous experience in reception or administrative roles, and good organizational skills are important for managing visitor logs and phone systems.

Job description

Overview

Elite Physical Therapy, a member of the Confluent Health family, is looking for a Full Time Front Desk Medical Receptionist to join our Pineville team!

  • Pay: ~$14-$15/HR
  • Schedule: M-TH: 6:45 am - 4:15 pm / F: 7:15 am - 1:30 pm

At Confluent Health and our family of affiliated brands, Care Coordinators are the heartbeat of the clinic. They are the first voice a patient hears and the first face they see. You set the tone for the entire patient experience: organized, warm, and professional from the very first call through every visit. This is a fast-paced, multi-tasking role where no two days look the same, and where your ability to stay calm, follow through, and take ownership makes a direct impact on patients and the clinical team.

What we offer:
• Health, Dental, and Vision Insurance
• Paid Time Off
• Family Building and Parental Leave Benefits
• 401(k) with employer matching up to 4%
• Structured onboarding with a 30/60/90-day development plan and ongoing support from clinic leadership
• Clear growth pathways; many of our front desk team members have advanced into clinic management,
operations, and leadership roles
• A collaborative team culture where no one is left on an island; you'll have access to leadership and a built-in
buddy system across clinic locations

Responsibilities

• Create a welcoming, professional first impression for patients, visitors, and referral sources
• Manage front desk operations including patient check-in, check-out, scheduling, insurance
verification/authorization, and phone calls
• Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient
records, and helping patients understand next steps
• Keep patient flow and schedules moving by confirming appointments, working waitlists, filling
cancellations, and following up with patients who need future visits
• Collect copays, balances, and other patient payments accurately and professionally, including basic
payment tracking or reconciliation when needed
• Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation

Qualifications

• High School Diploma or GED
• Experience in a medical front desk, healthcare reception, physical therapy, chiropractic, dental,
or similar clinical office setting preferred but not required.
• Strong communication, organization, multitasking, and follow-up skills
• Comfort using computers, phones, scheduling systems, electronic medical records, email, and basic
spreadsheets
• Ability to discuss payments, scheduling expectations, and basic insurance information with
professionalism
• A calm, patient-centered approach with strong attention to detail and a willingness to help the team
