About the Role

The Rochester office of Lippes Mathias is seeking an Operations Assistant. This position requires professionalism and confidentiality. We are looking for a highly dependable individual who has a positive attitude, is organized and willing to learn. The Operations Assistant must have a valid Drivers License and a reliable vehicle for pickup and delivery requests.

What Youl'l Do

  • Order office supplies and monitor supply inventory
  • Stock paper at all printers/copy machines daily
  • Stock snack bins, coffee bars, monitor and replace toner cartridges
  • Greet guests and vendors and direct them appropriately
  • Collect, seal, and stamp outgoing mail using postage meters and envelope sealers
  • Retrieve, sort, and distribute incoming mail
  • Maintain general cleanliness of conference rooms and office
  • Assist Legal Assistants with document management and special support projects, i.e., scanning, copying, filing, etc.
  • Complete pickup/delivery requests and general errands including delivering outgoing mail to the post office
  • Clean out workspaces and offices for employee departures and arrivals
  • Assist in firm-wide or office social gatherings, i.e. holiday breakfast and lunch, volunteer opportunities, special events
  • Coordinate with Human Resources for onboarding of New Hires including updating the Operations Manual
  • Assist in general IT setup including computers, phones, and docking stations
  • Other duties as needed

What We're Looking For

  • Minimum of 1-2 years of professional office experience.
  • Associate degree preferred.
  • Good working knowledge of Microsoft Word, Excel, and Outlook.
  • High accuracy rate and strong attention to detail.
  • Excellent organizational skills.
  • Strong professional communication skills, both oral and written.
  • A positive attitude in all aspects of the role, taking personal responsibility and ownership and always behaving professionally.
  • Reliable attendance.
  • Experience with document management systems such as ProLaw
  • Ability to complete projects with little direction.
  • Ability to use discretion and handle confidential information.
  • Ability to meet deadlines and produce high quality work products.
  • Ability to lift up to 50 pounds.
  • A valid Drivers License and reliable vehicle.

Compensation

Salary range: $20-$22/hour. This is a good-faith estimate for the position based on location and minimum criteria. Actual compensation may vary based on experience and other job-related factors as permitted by law.
