Job description

General Purpose:

  • The Western Coast Rental/Demo Coordinator handles all aspects of supporting our customers on the West Coast concerning Rentals/Demos/Loaners.

Essential Duties and Responsibilities:

  • Maintain and monitor rental/demo/loaner process for accuracy and tracking for outbound and inbound product.
  • Field incoming calls or emails from customers or sales team for needed rental/demo/loaner requests.
  • Input rental/demo/loaner contracts into SAP and monitor the process until return.
  • Assist in picking, packing and auditing (for accuracy) of rental/demo/loaner equipment prior to shipping.
  • Work with carriers and their systems (UPS & FedEx) for label printing, returns, shipments and tracking to Territory/Area Managers.
  • Greet customers, area managers and territory managers for in-house equipment pick-up, and assist with equipment inquiries.
  • Weekly follow up with Mobile Technicians/Area Managers/Territory Managers on loaner equipment returns and corresponding tracking.
  • Ensure returned equipment shipments are unloaded safely and placed in designated areas to be checked in.
  • Ensure all returned equipment is researched to verify ownership.
  • Ensure current return processes are followed for all returned rental/demo/loaner equipment.
  • Maintain and monitor Warehouse inventory levels.
  • Verify equipment on the “ready shelf” is calibrated and within the “calibrated and ready for rental” guidelines.
  • Partner with Branch Manager, Corporate Rental department and/or Sales team, on any returned stock that is not part of the West Coast Inventory to ensure it is returned or transferred as necessary to maintain accurate records.
  • Responsible for transferring inventory to and from our various locations, including vans, offices, and warehouses and tracking it as it comes in and goes out.
  • Support rental/demo/repair work order process as needed for the in-house repair department to ensure rental demo equipment is repaired and calibrated and returned to stock.
  • Ensure all safety guidelines are followed to maintain a safe working environment.
  • Flexible and adaptable to changes within the organization.
  • Maintain cleanliness and organization standards for warehouse and office.
  • Work with Branch Manager to maintain and institute corporate practices and procedures.
  • Perform routine checks on rental equipment to ensure it is safe and in good working order.
  • Other duties as assigned.

Supervisory Responsibilities:

  • None

Education/Experience Required:

  • College Degree Preferred
  • Customer Service Experience
  • Experience handling / supporting a team of Sales Representatives.
  • Computer proficiency and excellent communication skills.
  • Prior experience with SAP or similar ERP systems preferred.
  • Experience handling heavy volume of phone calls / emails.
  • Must have clean and valid driver’s license.

Computer Skills Necessary:

  • Basic knowledge of Microsoft Office.
  • Excel skills are a plus.

Physical Demands/Requirements

  • Ability to routinely lift up to 80 lbs.
  • Ability to perform work with prolonged standing up to 8 hours; frequent bending, stooping, crouching and reaching.
  • Able to work flexible hours and overtime as needed.

Work Environment:

  • Split between warehouse & office environment.
