Job Description:

  • Documents and tracks each patient's authorization information, including dates and types.
  • Schedules patient appointments and coordinates procedures.
  • Educates patients and families on the Botox process and financial responsibilities.
  • Answers phones, triages patient calls, and returns calls in a timely manner.
  • Reviews Botox requests from providers and obtains necessary authorizations from insurance carriers.
  • Coordinates delivery of medication to the office from pharmacies.
  • Tracks the amount of buy-and-bill medication to be ordered for each office monthly.
  • Assists patients with financial assistance applications when needed.
  • Maintains and updates physicians’ records and schedules.
  • Coordinates with providers for Botox insurance denial appeals and schedules peer-to-peer reviews.
  • Ensures authorization information is entered into the system for billing purposes.
  • Monitors patients' course of treatment and communicates pertinent information to the physician.
  • Other duties as assigned.

Knowledge, Skills, and Abilities:

  • Knowledge of business office procedures. [Required]
  • Knowledge of English grammar, spelling, and punctuation to type patient information. Skill in operating a computer other office equipment. [Required]
  • Skill in greeting patients and answering the telephone in a professional, pleasant, and helpful manner. [Required]
  • Ability to speak clearly and concisely. [Required]
  • Ability to read, understand, and follow oral and written instruction. [Required]
  • Ability to type accurately. [Required]
  • Ability to establish and maintain effective working relationships with patients, employees and public. [Required]
  • Must be willing to float to other FHMG practices, within reason, when patient load, vacation schedules etc. make it necessary. [Required]
  • Demonstrates ability to communicate by reading, writing legibly, speaking, and comprehending English effectively in order to carry out job requirements. [Required]
  • Knowledge of healthcare field and medical terminology [Preferred]
