Job description

  1. Job Summary:
The Bookkeeper is detail-oriented and reliable, able to manage day-to-day financial transactions for RAWR Distribution. They have hands-on experience with QuickBooks and are responsible for maintaining accurate financial records, ensuring compliance, and supporting the company’s financial operations.
 
  1. Reporting Relationships:
     
  • Supervisory responsibilities: Not directly. May coordinate work with other employees.
  • May assist in training newly hired clerks and secretaries.
 
  1. Duties and Responsibilities:
     
  • Record and maintain all financial transactions using QuickBooks.
  • Manage and reconcile bank and credit card accounts within QuickBooks.
  • Handle accounts payable including billing and payment planning / preparation.
  • Handle accounts receivable including invoicing, reporting and collections.
  • Maintain and update the general ledger in QuickBooks.
  • Generate financial reports such as profit & loss statements, balance sheets, and cash flow reports. Assist with budgeting and forecasting.
  • Process payroll or coordinate payroll through QuickBooks or a third-party provider.
  • Ensure accuracy and integrity of financial data in QuickBooks.
  • Prepare records and reports for tax filing and work with external accountants as needed.
  • Maintain organized and up-to-date financial documentation.
  • Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of information when needed. Maintains filing systems as assigned.
  • Respond to and resolve administrative inquiries and questions.
  • Assist with inventory counts and inventory reconciliation.
  • Coordinate and schedule travel, meetings, and appointments for managers, supervisors, and team members.
  • Prepare agendas and schedules for meetings.
  • Record and distribute minutes or other records for meetings.
  • Maintain office supplies and coordinate maintenance of office equipment.
  • Maintain a system for recording expenses and the use of petty cash / credit card.
  • Perform other related duties as assigned.

  1. Skills & Abilities:
  • Proven experience as a bookkeeper, with strong proficiency in QuickBooks (required).
  • Solid understanding of accounting principles.
  • Experience with accounts payable, accounts receivable, and bank reconciliations.
  • Proficiency in Microsoft Office Suite and general computer skills.
  • High level of accuracy and attention to detail.
  • Strong organizational and time management skills.
  • Ability to handle sensitive financial information with confidentiality.
  • Excellent verbal and written communication skills.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently. Can-do attitude.
 
  1. Education & Experience:
     
  • Associate’s degree required. Bachelor’s degree in Accounting, Finance or related field preferred.
  • Five years of experience in an administrative / bookkeeping role.
  • Bookkeeping experience required. QuickBooks knowledge is a must.
  • Language: English (required), Spanish (preferred).
 
  1. Physical Requirements and Conditions:
     
  • Will work at a desk and office indoors, with sporadic visits to the warehouse.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

  • Maintains past-due accounts receivable under the assigned target.
  • Ledger / financial records accuracy and preparation time compliance.
