Job description

Immaculate Conception Parish in Milan is seeking a part-time Bookkeeper.
General Summary: This position assists with the ministry of the parish by performing all bookkeeping duties to ensure proper maintenance of accounting records, processing of receivables, payables, and payroll. The position also prepares routine and special accounting reports. The incumbent directs these efforts with technical expertise within a framework of shared ministry and Catholic values.
Principal Duties and Responsibilities:
Finance
  • Prepare a yearly budget (in consultation with the pastor and parish finance council), various monthly accounting reports, and other reports requested by the pastor or the parish finance council.
  • Serve with the pastor as the staff liaison to the parish finance council, including attending monthly meetings.
  • Prepare reports, as needed, for the Diocese of Lansing and ensure proper filings are complete.
  • Monitor budgetary compliance for all areas of the parish.
  • Assists as needed in researching various means to increase parish efficiency in spending

Bookkeeping
  • Manage all banking activities including, but not limited to:
    • working with the office manager for the accounting of Sunday collections
    • payables and receivables
    • reconciliations
  • Review invoices for accuracy and prepare checks for signature.
  • Calculate and maintain accurate balances in bank accounts. Pay all debts on time, without incurring late fees.
  • Related to parish accounting system:
    • Maintains accrual accounting system
    • Utilize double entry bookkeeping for receipts and disbursements.
    • Implement electronic funds transfers whenever possible.

Payroll
  • Prepare and administer payroll: process payroll and all required payroll taxes and reports.
  • Stay abreast of changes to diocesan benefits, employee handbook, and other related policies. Communicate updates to staff.
  • Work with office manager to ensure proper tracking of staff use of paid and unpaid time off.
  • Assist staff in filing for benefits (insurance and retirement), if needed. Direct staff to the appropriate support when they have questions.

Other Items
  • Work with office manager to ensure volunteers who count Sunday collections follow proper audit procedures.
  • Handle sensitive information confidentially.
  • Maintain open lines of communication with members of parish staff (both paid and volunteer) and councils/committees.
  • Work with the pastor and office manager to periodically report on the condition of the parish's physical assets.

Education:
Associates degree or equivalent with significant coursework in accounting.
Experience:
Minimum of three years of experience with standard accounting practices, office procedures, and business etiquette. Must be fluent in Microsoft Excel and Word. Familiarity with accounting software.
Required:
Employee is expected to work hybrid, with first few months in office for training (coordinated with person training). Must be a practicing Catholic, active in a parish. Must be able to maintain confidentiality. Some weekend work may be required.
Physical Demands:
While performing duties, employee has to sit for periods of time, use hands in repetitive motion.
