Job description

Victor Energy Ltd is seeking a Project Assistant to join our team based out of the Nisku location You must have good computer skills, good communication & competent decision-making skills, and a desire to perform requested duties with a focus on accuracy and time management. Your responsibilities include:

  • Support the project management and construction execution teams, coordinating with internal and external parties 
  • Use of approved systems in alignment with company expectations
  • Provide administrative support in various areas which include but are not limited to:
    • Timesheets - create timesheets and submit for approval and payroll processing
    • Travel - book and coordinate all transportation and accommodation of personnel
    • Technology - coordinate with Employee Engagement, IT and Systems teams to support crew needs
    • Meeting support - document meeting minutes, and distribute actions
    • Project Document Control - perform project document control procedures as directed including, but not limited to, data entry, records filing, asset tracking, and related document distribution
    • Material suppliers - create purchase orders, compile backup and review invoices
    • Subcontractors - process timesheets, invoices, daily reports and other documents to support subcontractor management
    • General administrative and data entry support for crews including expense reports, fuel cards verifying PO's, credit card reconciliation
    • General project administrative and data entry support as required such as landowner, client, and third-party communications as directed

Requirements

Education, Skills & Qualifications

  • Post secondary certificate or diploma related to business, construction or administration, or equivalent experience
  • 3 plus years' experience in providing administrative and data entry support
  • Experience working in the utility sector
  • Exceptional eye for detail and organizational skills in a dynamic, multi-tasking environment
  • Strong time management and documentation skills
  • Excellent interpersonal, oral, and written communication skills
  • Building and maintaining positive relationships with office and field staff
  • Dedicated team player who works well independently and as part of a team
  • Strong computer skills including working knowledge of the full Office 365 suite
  • Able to protect sensitive and proprietary information
  • Positive attitude and team player
