Job description

Job Title: Shop Assistant at Bok Tower Gardens

To assist in supporting the mission of Bok Tower Gardens through the profitable operation of The Shop at Bok, providing a quality experience for the visitors.

Duties:

Sales and Customer Service:

  1. Maintain a neat & professional personal appearance with a cheerful professional attitude (Smile)
  2. Greet and make eye contact with customers entering store, with 7 seconds
  3. Be knowledgeable about shop merchandise in order to answer customer questions and explain the educational value of the item or what it represents
  4. Learn about new products, new displays, and storage changes
  5. Have adequate knowledge about the Gardens, Bok Tower, Pinewood Estate, special events and local area
  6. Assist customers as requested, and get assistance if you do not know
  7. Encourage and accept customer requests for merchandise using Merchandise Request Form
  8. Satisfy customers regarding their comments and complaints
  9. Ensure that the cashier counter is always attended and kept neat and clean
  10. Answer the telephone promptly
  11. Participate in onsite and offsite sales or special events

Shop Maintenance and Appearance:

  1. Maintain merchandise displays to be attractive, clean and customer-friendly
  2. Create displays for new merchandise and utilize educational signage when appropriate
  3. Maintain a pleasant environment in customer and work areas
  4. Maintain cabinets and stockroom in a neat, orderly and logical fashion
  5. Vacuum floors on weekends and spot mop as necessary
  6. Clean door glass and jewelry case glass daily and as needed
  7. Dust shelves, counters and windowsills as assigned
  8. Restock daily from computer report to replenish sold merchandise
  9. Restock as assigned from cabinets and stockroom
  10. Touch-up displays daily to keep fresh appearance
  11. Keep all areas free of safety hazards
  12. Maintain neat and safe environment while doing displays or processing merchandise
  13. At end of day, ensure that shop is orderly, mobility carts are plugged in, lights are out, doors are locked, and alarm is set.
  14. Take trash and broken down cardboard boxes to trailer or dumpster
  15. Fill in for Plant Shop Host as scheduled

Communication:

  1. Provide schedule requests well in advance, and cooperate in solving any conflicts
  2. Report low levels of merchandise and supplies for re-ordering
  3. Immediately report any suspicious person/activities, or safety hazards to management staff
  4. Communicate your suggestions, ideas, comments, problems and complaints, as well as those from the visitors to the Retail Services Assistant Manager or other managers as appropriate
  5. Be a team player and maintain open communication with staff and volunteers
  6. Attend full-staff meetings and training sessions as scheduled
  7. Read mail, e-mail, and listen to voice mail messages daily and respond appropriately
  8. Answer telephone and respond appropriately
  9. Serve on Bok Tower Gardens special committees as required

Cashiering:

  1. Transact cash register sales using scanner
  2. Transact sales manually during storms when registers are un-plugged
  3. Have thorough knowledge of all cash register functions
  4. Provide 10% discount for members and 50-hour+ volunteers, and 20% discount for employees
  5. Handle pet pen rentals, and provide written directions
  6. Handle mobility cart rentals, and have adequate knowledge to provide hands-on instruction
  7. Provide services for special promotions
  8. Perform deposit and deposit check procedures as scheduled
  9. Work with courier daily to get deposit to bank and to acquire change
  10. At end of day, close out and balance cash registers and credit card authorization terminals
  11. At end of day, perform cash out procedures as scheduled to balance banks and cash receipts
  12. At end of day, run back up and reports at server as scheduled

Merchandise Receiving:

  1. Follow safety standards for handling heavy boxes
  2. Check in merchandise and ensure quantity and quality
  3. Report discrepancies and question back orders with vendors, and provide documentation
  4. Indicate discontinued merchandise SKU's in the computer
  5. Create and/or update vendor records and merchandise SKU's as needed
  6. Establish and/or update pricing according to gross margin guidelines
  7. Perform computer receiving, and print purchase order and receiving report
  8. Print price labels and co-ordinate pricing with staff and volunteers
  9. Scan new merchandise pictures into computer
  10. Process invoices with purchase orders for approval
  11. Handle general office duties and special projects as assigned by the Retail Services Assistant Manager

Inventory Maintenance:

  1. Participate in the inventory counting process every summer
  2. Take line or vendor inventory counts as assigned throughout year

Education and Experience:
