Job Description
This hourly position provides professional administrative, financial, and customer service support to the Public Works Department. Serves as the primary point of contact for residents, contractors, vendors, and Town staff while coordinating office operations, processing financial transactions, maintaining department records, supporting capital projects, and assisting with departmental programs. Exercises sound judgment, maintains confidentiality, and provides responsive, high-quality customer service in a fast-paced environment.

  • Supports the Town's water billing program by processing invoices, responding to customer inquiries, preparing weekly billing requests, and coordinating with Finance to ensure timely and accurate billing.
  • Coordinates the administrative processing of Right-of-Way permits, including contractor account setup, permit preparation, record maintenance, and customer communication.
  • Provides administrative support for capital improvement projects by preparing contracts, processing invoices, maintaining project documentation, and coordinating schedules and communications.
  • Coordinates daily office operations, including mail distribution, office supplies, forms management, scheduling, and other administrative workflows.
  • Serves as a primary point of contact for residents, contractors, vendors, and Town staff by providing professional, courteous, and responsive customer service in person, by telephone, email, and other communication methods.
  • Prepares and formats reports, correspondence, memoranda, presentations, and other departmental documents, ensuring accuracy, professionalism, and timely completion.
  • Utilizes multiple software applications to maintain records, process financial transactions, prepare correspondence, generate reports, and communicate with internal and external stakeholders.
  • Maintains departmental databases, application logs, forms, records, and electronic filing systems in accordance with Town policies and records retention requirements.
  • Processes purchase orders, invoices, procurement documentation, and vendor payments while ensuring compliance with Town purchasing procedures.
  • Supports public records requests by locating, organizing, and providing departmental records in accordance with applicable laws and Town policies.
  • Performs data entry, document scanning, digital archiving, and records management to maintain accurate and accessible departmental information.
  • Identifies opportunities to improve administrative processes, workflows, forms, and recordkeeping systems to enhance operational efficiency and customer service.
Marginal Duties
  • Provides administrative support for special projects, including conducting research, compiling information, preparing recommendations, and assisting with implementation of approved initiatives.
  • Provides administrative assistance to other Public Works divisions during peak workloads or as assigned.
  • Provides office coverage during the absence of the Office Manager by answering telephones, greeting visitors, directing inquiries, and ensuring continuity of office operations.
  • Assists with the preparation of presentation materials, meeting packets, and other special communications.
Other Essential Responsibilities:
  • This position requires regular and reliable in-person attendance at the designated worksite as an essential function of the job. As a public servant, physical presence is necessary to effectively perform essential duties, support operational needs, collaborate with team members, provide direct service to the public and internal stakeholders, utilize on-site equipment and resources, and maintain effective communication, responsiveness, and accountability in serving the community.
