Job description

As Rental Event Captain, you get to be the person who makes the magic happen at one of Durham's favorite wedding venues, the Museum of Life and Science. From coordinating vendors to leading event staff and ensuring every detail is exactly where it should be, you'll help create exceptional experiences from first setup to final breakdown.

The Rental Event Captain supports the Museum’s mission by being a key member of the Guest Experience team, responsible for the execution and operational support of all wedding events at the Museum. Each Captain will likely work approximately 15 hours per week, subject to event bookings. 

Required Qualifications

  • College degree or 2+ years’ experience in Hospitality or Event Management or a related field
  • Valid US driver’s license
  • Excellent communication skills – verbal and written
  • Exceptional attention to detail and organization
  • Strong interpersonal skills including the ability to work collaboratively and with diverse populations
  • Works well under pressure with a positive attitude and creative problem-solving skills
  • Strong multi-tasking skills
  • Ability to respond to and manage emergencies with provided training
  • Strong computer and Microsoft Office skills
  • Available to work weekends, evenings, and late nights
  • Physically able to be on one’s feet for up to 8+ hours a day, travel distances of up to one mile on variable terrain at a time, and lift 35 lbs. on a regular basis, bend, reach, and squat up to 75% of the time

Responsibilities

  • Act as Manager on Duty (MOD) during wedding and private rental events, including leading Rental Associates, coordinating vendors to fulfill client expectations, and anticipating operational needs.
  • Oversee and execute all wedding and event set-up and breakdown operations, including tables, chairs, ceremony layouts, reception spaces, signage, and storage of rental equipment.
  • Ensure all event spaces are set according to approved floorplans and timelines while maintaining Museum presentation standards.
  • Coordinate with caterers, DJs, florists, photographers, planners, and other vendors during load-in, event execution, and load-out.
  • Maintain the safety, security, and cleanliness of Museum facilities and exhibits by enforcing Museum policies, ensuring adequate clean-up, restoring the Museum to operational condition, and properly securing campus after events.
  • Maintain a warm, friendly, and safe Museum environment by monitoring exhibits and event spaces and ensuring compliance with NC ABC laws, the Durham County smoking ordinance, and applicable Museum policies.
  • Support the Rentals Team during peak seasons and periods of absence by serving as MOD for select Corporate, Social, and Internal events.
  • Maintain the organization of rental equipment, décor, signage, furniture, and storage spaces throughout campus.
  • Train and support Rental Associates in event procedures, customer service expectations, and operational standards.
  • Participate in weekly Rentals meetings and communicate operational concerns, event feedback, and logistical needs to the Rentals leadership team.
  • Transport guests, staff, and vendors in a golf cart as needed.
  • Attend recurring Emergency Coordinator training and serve in that role after hours as needed.
  • Perform other duties as assigned.
