Job Summary


The Orchard Administrative Assistant supports human resources and administrative functions for orchard and agricultural operations. This role assists with hiring and onboarding, employee enrollment, payroll support, recordkeeping, and compliance documentation. The position works closely with field supervisors, managers, and HR to ensure accurate employee records, timely processing of paperwork, and smooth day-to-day HR operations, particularly during peak agricultural seasons.


Key Responsibilities

  • Assist with recruiting, hiring, and onboarding of seasonal and year-round orchard employees
  • Prepare and process new hire packets, I-9s, W-4s, and employment eligibility documentation
  • Maintain accurate employee personnel files (paper and electronic)
  • Support compliance with company policies and employment regulations
  • Assist with payroll preparation by reviewing timecards, attendance, and payroll data for accuracy
  • Communicate with supervisors to resolve missing or incorrect time entries
  • Submit payroll changes, deductions, and corrections as needed
  • Support piece-rate, hourly, and agricultural payroll requirements
  • Maintain organized HR records in compliance with federal, state, and agricultural labor regulations
  • Coordinate with orchard supervisors and field staff regarding employee needs and documentation
  • Assist with seasonal workforce planning and high-volume hiring periods
  • Support agricultural-specific programs such as migrant or seasonal worker documentation, housing paperwork, or safety training records
  • Perform other administrative or HR-related duties as assigned to support orchard operations
  • Other duties as assigned

Work Environment

  • Exposure to varying weather conditions and rural/agricultural environments
  • Work schedule may vary 4-5 days a week, with occasionally Saturday/Sunday shifts during peak harvest and heavy workload periods.

Requirements

Qualifications

  • High school diploma or equivalent
  • Previous administrative or HR support experience preferred
  • Strong organizational and time-management skills
  • Ability to handle confidential information with professionalism
  • Proficiency in basic computer programs (Microsoft Word, Excel, HR/payroll systems)
  • Strong communication skills; bilingual (English/Spanish) preferred
  • HRIS or payroll system experience preferred
  • Experience working in agriculture, orchards, or seasonal workforce environments

Physical & Sensory Requirements

  • Ability to sit for extended periods in an office and orchard/field environment
  • Ability to lift, carry, push, and pull materials and equipment weighing up to 40 lbs.
  • Hearing ability to communicate with supervisors, dispatch, and coworkers, and to hear warning signals and traffic sounds
