Job Summary

The Customer Service and Supply Chain Specialist is responsible for supporting manufacturing operations by serving as the primary point of contact for customer service, purchasing, and inventory management activities. This position ensures customer orders are processed accurately, materials and supplies are purchased in a timely and cost-effective manner, and inventory levels are maintained to support uninterrupted production. The Customer Service and Supply Chain Specialist works closely with customers, suppliers, production, warehouse, shipping, accounting, and sales to ensure operational efficiency and customer satisfaction.

Essential Functions

Customer Service

  • Serve as the primary point of contact for customer inquiries regarding order status, pricing, lead times, product availability, and specifications.
  • Enter, review, and process customer orders accurately within the ERP system.
  • Coordinate with production and shipping to ensure customer delivery commitments are met.
  • Prepare quotations, order acknowledgments, invoices, and other customer documentation.
  • Resolve customer concerns, discrepancies, returns, and shipping issues in a professional and timely manner.
  • Maintain accurate customer account information, pricing, and order history within ERP system.
  • Build and maintain positive customer relationships while providing exceptional customer service.


Purchasing

  • Source, evaluate, and procure raw materials, components, maintenance supplies, and other goods necessary to support manufacturing operations.
  • Prepare and issue purchase orders while ensuring accuracy and timely processing.
  • Develop and maintain productive relationships with suppliers and vendors.
  • Obtain competitive pricing and evaluate supplier performance related to quality, cost, and delivery.
  • Monitor open purchase orders and proactively follow up on overdue deliveries to minimize production disruptions.
  • Maintain purchasing documentation including purchase orders, invoices, supplier records, and contracts within ERP system.
  • Support continuous improvement initiatives by identifying opportunities for cost savings and supplier performance improvements.
  • Collaborate with Production, Quality and Engineering to resolve material shortages and support manufacturing requirements.
  • Monitor supplier performance related to quality, delivery, and responsiveness and communicate issues to management.


Inventory Management

  • Monitor inventory levels of raw materials, components, work-in-progress, and finished goods.
  • Coordinate and participate in cycle counts and physical inventories.
  • Investigate inventory discrepancies and implement corrective actions as needed.
  • Process inventory transactions including receipts, adjustments, transfers, and stock corrections.
  • Coordinate with warehouse and production personnel to ensure proper inventory rotation and material availability.
  • Prepare inventory reports and identify excess, obsolete, or slow-moving inventory for management review.


General Responsibilities

  • Collaborate cross-functionally with Production, Warehouse, Shipping, Quality, Accounting, Sales, and other departments to support operational goals.
  • Maintain accurate records and documentation in accordance with company procedures.
  • Support continuous improvement initiatives to improve efficiency, customer satisfaction, inventory accuracy, and cost control.
  • Ensure compliance with company policies, quality standards, safety requirements, and applicable regulatory requirements.
  • Perform other duties as assigned.

Education

  • Associate degree in Business, Supply Chain Management, Operations, or a related field preferred.

Required Experience & Competencies

  • Minimum four (4) years of experience in customer service, purchasing, inventory control, or supply chain functions within a manufacturing or industrial environment preferred.
  • Experience working with ERP or inventory management systems (such as SAP, Syteline, or similar).
  • Proficient in Microsoft Office Suite, with strong Microsoft Excel skills.
  • Knowledge of purchasing processes, inventory control principles, and manufacturing operations preferred.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation with the ability to build positive working relationships.
  • Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Strong attention to detail and accuracy.
  • Analytical and problem-solving skills with the ability to identify and resolve operational issues.
  • Ability to work independently while collaborating effectively across multiple departments.
  • Experience working with technical product data or engineering documentation.
  • Ability to maintain confidential and sensitive information.
  • Demonstrated proficiency using ERP systems and standard office software.
